Microtra features

Make room in the day for the work behind each visit.

Microtra's job scheduling software links appointments to jobs and assigned staff. Plan the calendar alongside working hours, lunch breaks and time off, then open the work details behind the appointment. Automatic service reminders are coming soon.

Start with the commitments already on the calendar

Review today's work and the staff involved before placing another appointment. Working hours, lunch breaks and time off describe the available day. Allow for the real visit and the travel around it when you choose its time; a free-looking space is not a promise that the work will fit.

Attach time to a job with a clear site and scope

Appointments link to a job and assigned staff. Keep the client site, status, tasks and notes with that job so the calendar entry has useful context. A return visit can then be understood as part of the work rather than an unexplained name in a time slot.

Check the resources the work depends on

No-login resources, such as equipment and vehicles, can appear on the schedule. Consider the people and the resources together when planning a job that needs a shared machine or vehicle. Staff availability and the work's requirements still need the owner's judgment.

Keep a changed plan connected to the work

When the client asks for a different time, review the appointment, staff availability and job notes together. Confirm changes using your existing communication method; server email and SMS delivery are coming soon. For repeating visits, check and schedule the appointments yourself rather than assuming a reminder reaches the client.

Use the schedule for planning and time entries for hours worked

An appointment is a plan. A job timer or manual time entry records the hours to review afterward. Microtra can link those hours to staff, tasks and billing rates, helping you compare what the day required with what you expected before preparing a time-and-materials invoice.

How it works.

  1. Review the day and the staff's working hours, lunch breaks and planned time off.
  2. Find the job or prepare its site, status and task details before adding its appointment.
  3. Assign the staff and review any equipment or vehicle resources needed for the visit.
  4. Recheck the calendar when the plan changes, then review actual time entries separately from scheduled time.

Useful answers.

Does an appointment contain the whole job record?

The appointment links to a job and assigned staff. The job holds details such as the site, status, tasks, notes and costs, so the planned visit stays connected to the work.

Can I include staff lunch breaks and leave?

Working hours, lunch breaks and time off are supported. Keep those details up to date before arranging more work for the person.

Will clients receive a reminder automatically?

Automatic service reminders are coming soon. Agree the time with the client and handle confirmation through your own communication method.

Is the appointment length automatically the billable time?

Use the timer or a manual time entry to record work time. Review those entries and the billing arrangement rather than assuming the scheduled slot equals the hours to bill.
