Build a moving estimate from the inventory and access survey

A moving estimate starts with what must travel and how it reaches the truck. Inventory, stairs, elevator reservations, parking distance and bulky pieces all matter more than a vague bedroom count. The example below is a planning worksheet for a local move, with handling time, packing supplies and an identified bulky item. It is not a regulated carrier form or a substitute for documents your operation must provide.

[Attach the inventory, pickup and delivery access notes, and the proposed move window.]

[Explain what a crew-hour includes and how travel or minimum charges are treated in your pricing.]

[Identify self-packed boxes, fragile items, disassembly and packing responsibilities.]

[Check the official rules applicable to your type of move and use required carrier documents separately.]

How to use the template.

  1. Survey both ends of the move. Confirm stairs, loading restrictions, elevator bookings and the likely carrying distance.
  2. List furniture, box assumptions and unusual pieces with the client. Flag items needing specialist handling rather than assuming they fit the routine scope.
  3. Define the crew and equipment basis before entering a time estimate. Distinguish forecast hours from the charging terms you actually offer.
  4. Describe packing, furniture disassembly and reassembly, floor protection and disposal of wrapping. Record what the client will do before arrival.
  5. Review the inventory again when the client adds rooms, storage stops or items. Explain the effect on the estimate and complete any required paperwork.

Useful answers.

Can this document replace an interstate moving estimate?

No. It is a general scope sample. Interstate moves and other regulated operations may require specific disclosures and forms; check the relevant transport authority and obtain qualified guidance.

How do stairs and long carries affect the estimate?

Record the conditions at pickup and delivery, then estimate the labor and equipment they require. Show any separate charge basis clearly instead of relying on a broad access fee description.

Should packing be assumed included?

Explain exactly what is packed by the mover and what arrives ready to load. Cartons, fragile packing, unpacking and removal of materials can each be a different service.
