A moving company checklist from survey to delivery

A move can run smoothly at pickup and still unravel at the delivery dock. Use this crew sheet to connect the survey, loading plan and destination arrangements. It is an operational checklist for a moving business, separate from the customer agreement and any transport documents that apply to the move.

A moving company checklist from survey to delivery

Survey both ends of the move

  • Record the pickup and delivery contacts, addresses and permitted arrival windows.
  • Confirm stairs, elevator reservations, loading zones and the distance from parking to each entrance.
  • List bulky items, fragile pieces and belongings the customer will move personally.
  • Ask what must be disassembled and whether specialist handling is outside the crew scope.

Prepare the vehicle and crew

  • Compare the surveyed load with available vehicle space and agreed staffing.
  • Assign responsibility for the inventory, loading order and destination contact.
  • Check the availability and condition of dollies, furniture pads, straps and floor protection.
  • Set aside labeled parts bags for furniture hardware and a way to identify each room.

At the pickup walkthrough

  • Review the agreed inventory with the authorized customer before loading.
  • Record visible preexisting damage with permission and identify items that are not ready to move.
  • Label cartons and furniture consistently so the destination crew can follow the room plan.
  • Pause for approval when extra packing or an unlisted item changes the work.

Load and travel handoff

  • Record which inventoried items have been loaded and any items left behind.
  • Use your trained loading and securement procedures rather than treating this list as instruction.
  • Keep tools needed for unloading accessible and communicate revised arrival expectations.
  • Secure the pickup premises as agreed and record who received any keys.

Delivery reconciliation

  • Check arriving items against the load inventory as they enter the destination.
  • Place belongings in the agreed rooms and record any blocked placement or incomplete assembly.
  • Discuss missing items, visible damage and other exceptions without promising an instant claim outcome.
  • Complete the customer walkthrough and follow your own process for required documents and payment.

This task sheet does not replace a bill of lading, valuation terms or a reviewed moving agreement.

How to use the template.

  1. Build the sheet from a survey that covers pickup and destination access, rather than copying the same assumptions onto every move.
  2. Adapt the equipment and inventory prompts to your actual service. Ask a qualified adviser and the relevant transport authority which documents apply to your business.
  3. Give the crew the destination details before loading. Use your own secure method for sharing customer information.
  4. Mark exceptions at the stage where they occur and reconcile them during the delivery walkthrough. Keep the completed sheet with the move file.

Useful answers.

Is this a packing list for the customer?

It is written for the moving crew. Give the customer a separate preparation list covering belongings, carton labeling and access arrangements that you have agreed with them.

What if the truck cannot reach the entrance?

Record the actual access constraint and discuss the work it adds before proceeding. The survey should identify a likely long carry or smaller-vehicle transfer so it can be addressed in the agreement.

Does checking an item mean it arrived undamaged?

No. An inventory mark records a handling step. Condition notes, delivery exceptions and your reviewed claims process remain separate records.
