Show the stage being billed on a multi-trade project

Help the client see exactly which part of the project this invoice covers. A progress bill needs a defined billing period or milestone, references to earlier invoices and a clear boundary around work still to come. This fictional general contractor sample bills completed multi-trade packages at the cabinet-readiness stage of a kitchen remodel, with an approved change shown separately.

Example: fictional USD amounts illustrate a stage invoice and do not represent market rates or a contractual payment entitlement.

[Reference the accepted estimate, stage description and written approval for the additional pantry work.]

[Identify earlier invoice numbers and the separate scope each covered; carry forward only an amount that actually remains due.]

[State the invoice issue date, agreed due date and applicable tax treatment.]

[Identify any deposit or earlier payment applied to this invoice and manually reconcile the amount due before sending.]

[If the agreement includes retainage, show the agreed withheld amount and manually reconcile it outside the sample line-item total.]

[List cabinet installation, finish connections and other later work as remaining scope, not charges in this billing stage.]

[Attach the progress account summary and relevant completion or change records needed to explain the request.]

How to use the template.

  1. Choose the billing boundary from the agreement and confirm the work supplied against it. Record the period or milestone and the estimate revision so the client can place this invoice in the project account.
  2. Enter only the amount being charged for each package on this invoice. Check earlier invoices before adding a trade line, and identify an approved change by its own reference.
  3. Reconcile previous billing, payments, any deposit allocation and any agreed retainage on a separate progress account summary. The download adds the example line items; edit and check the final payable amount yourself.
  4. Add payment terms and the relevant supporting records, then review the whole request with the project account. Keep the remaining scope visible when you share the invoice with the client.

Useful answers.

Should this invoice show the full value of every subcontract?

Show the amount billed for the defined stage. If you include a wider account summary, distinguish the agreed value, earlier billing, this invoice and remaining work so the project total cannot be mistaken for the amount now requested.

How do I handle a payment already applied to this stage?

Reference the payment and its allocation, then reconcile the balance before sending. Keep payments against other invoices separate. This editable sample requires you to check credits and deductions manually.

Is this a formal construction payment application?

It is a general invoice sample. If your project uses a prescribed payment application, certification or other contract-specific paperwork, use the agreed forms and obtain appropriate professional review. Microtra supports progress invoices from estimates and records payments received elsewhere.
