Software for graphic designers

Keep the approved brief beside the project account.

A visual identity, a brochure and a set of social graphics create different deliverables and approval conversations. Microtra supports the business around those design projects, connecting client details, agreed scope, tasks and billing while your creative software handles the artwork.

The everyday details

You know the work.
The admin adds up.

The deliverable needs more than a project name

A logo project may include a mark, variations and final file preparation, while a brochure brings page content and print coordination. Specify the outputs and exclusions before estimating. A broad label like design work makes later revision questions harder to resolve.

A new direction can look like a small edit

Changing the audience, format or concept after approval may change the work behind a request. Record the agreed brief and revision scope, then discuss the effect before proceeding. Keep the approval outcome alongside the business job rather than only in file comments.

Outside production can obscure your own fee

Stock assets, printing, specialist help and delivery may be purchased by different parties. Clarify who is responsible and record the costs your business actually handles. The client's account should distinguish your design service from separate production arrangements.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Write a scope that names the outputs

Prepare an estimate with items for discovery, design, revisions and delivery where they match your offer. Use notes for the approved formats and exclusions. Microtra does not create graphics, edit artwork or generate brand assets.

Keep the client agreement accessible

Save contacts, billing preferences, estimates, invoices and notes together. Other uses Job and Client. Add tasks and status to the project job, keeping creative file production and detailed proof review in the design tools your business uses.

Understand the effort behind revisions

Start a timer or enter time manually for work and tasks. Review research, concepts and amendment time against the billing agreement. A fixed project fee should not silently become hourly billing simply because the recorded revision time grew.

Plan the conversations around the files

Create job appointments for briefings and review meetings you arrange directly. You maintain the creative workflow, proof versions and approvals separately; the app does not provide a specialist artwork proofing or version comparison system.

Keep the final account complete

Add expenses with receipt photos and approved billable costs, then review invoice items against the agreed deliverables. Share the PDF through your device and record payment received elsewhere. The client portal, accounting sync and pay links are coming soon.

A day in the life

From the first quote to paid.

  1. Define the creative package

Confirm the decision-maker, intended use and final deliverables. Describe the revision arrangement, production responsibilities and exclusions in the estimate before beginning the project, so a recognizable brief anchors the business account.

  2. Give the work a record

Create the job and useful tasks, reserve agreed meetings and keep the client notes close. Continue making and reviewing artwork in your chosen creative tools, retaining the relevant approval outcomes in your own process.

  3. Discuss a change of direction

Compare the request with the original scope and explain any effect on effort or price. Record the agreement before continuing, then keep time entries and expenses connected to the work rather than estimating them at handover.

  4. Deliver and reconcile

Check the invoice against approved services and costs. Share the account as a PDF, record money received and review the balance separately from delivery of the creative files, which follows your agreed handover process.

A few useful answers

Questions from graphic designers.

Is this a graphic design application?

No. It is general software for the business side of design services: client records, jobs, estimates, time, expenses and invoices. It does not draw, lay out pages, manage color profiles or replace your design and production applications.

Can I keep different design services on an estimate?

Yes. Separate discovery, concepts, production and other agreed work into clear items with relevant quantities and notes. Distinguish optional outputs and external production so the client understands the service rather than seeing an unexplained creative fee.

Will clients mark up proofs inside Microtra?

The client portal is coming soon, and Microtra does not provide specialist artwork proofing. Use your existing review channel for comments and approvals. Keep the resulting scope decisions with your business record so billing follows what was agreed.

How should I handle licensed assets or printer costs?

Record costs your business pays as expenses and attach receipt photos, with billable costs where appropriate. Agree the responsibility and charging basis with the client first. The app does not determine asset license rights or authorize a printer's production job.
