Software for freelancers

Give the brief, the work and the bill the same context.

A research assignment, a copy project and a retained support arrangement can each produce a different account. Microtra helps independent professionals keep the agreed scope, tasks, recorded time and client invoices together, without turning a message thread into the only record of what was promised.

The everyday details

You know the work.
The admin adds up.

A revision can become a new assignment

The client may ask for a new audience, another deliverable or a different brief after work starts. Record the original scope and discuss what changes before continuing. A clear estimate makes the approval conversation easier than trying to reconstruct an informal request later.

Billable time is not all working time

Research, calls, production and administration draw on the same working day. Record useful task detail and review it against your billing agreement. More hours logged do not automatically mean a larger invoice is due under a fixed-fee project.

An issued invoice still needs attention

Sending the document, receiving payment and reconciling the account are separate events. Keep the balance and payment history with the client so you can follow up accurately instead of treating a delivered file as the end of the business work.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Make the agreed deliverables readable

Create an estimate with items, quantities, notes and prices that match the brief. Distinguish the core assignment from optional work or additional revisions. Microtra organizes the offer; it does not draft the specialist deliverable or decide whether a request changes the scope.

Keep client history close to the work

Save contact details, billing preferences, estimates, invoices and notes together. Other uses Job and Client without linked records. Use the job for the project's tasks, status and working notes rather than spreading the business agreement across unrelated files.

Find the hours behind the assignment

Start a timer or enter time manually against the job and tasks. Review entries and rates before preparing a time-and-materials invoice where appropriate. For fixed-fee work, use the hours to understand effort without silently changing the agreed fee.

Give deadlines a working plan

Create job appointments for agreed meetings and work sessions, with tasks and status to support your own review. You decide priorities and communicate delivery changes; the software does not manage client approval of a draft or review specialist files.

Close the financial loop

Record expenses with receipt photos and approved billable costs. Share invoice PDFs through your device and enter payments received elsewhere. Review outstanding invoices and client statements; accounting sync, card charging and the client portal are coming soon.

A day in the life

From the first quote to paid.

  1. Resolve the brief before production

Clarify who approves the work, which deliverables are included and how revisions will be handled. Turn those decisions into an estimate the client can review before you reserve working time.

  2. Create the project record

Add the job, tasks and useful notes beside the client. Arrange meetings directly and place them on the schedule, keeping draft production and file feedback in the tools appropriate to your work.

  3. Review a change request

Compare the request with the agreed scope, discuss its effect and update the business record. Log relevant time and expenses as you go so your account is based on entries rather than a Friday reconstruction.

  4. Send and follow through

Check the invoice against the agreement, share the PDF and record money received. Review remaining balances before following up, keeping the payment conversation separate from whether a draft has been delivered.

A few useful answers

Questions from freelancers.

Is this for an individual freelancer?

It can organize a sole operator's client contacts, jobs, estimates, time and invoices. Start with the records that help you keep an agreement clear. You do not need to treat every internal task as a separate billable service.

Can I invoice a fixed-fee project in stages?

Progress invoices can be created from estimates. Make sure the stages and amounts reflect what you agreed with the client, then check payments and the remaining balance. The app does not determine whether a contractual milestone has been accepted.

Will clients review my work inside Microtra?

The client portal is coming soon. Use your existing channel for drafts, specialist files and approval, and retain the useful business outcome in job notes. An invoice PDF is not a collaborative document review workspace.

Can I record expenses without automatic scanning?

Yes. Enter expense details and attach receipt photos. Automated receipt reading is coming soon, so check amounts and categories yourself. A stored receipt supports your record but does not decide whether a cost is billable or how it should be treated for tax.
