Manual business mileage tracker and log

Build a business mileage log from trips you enter yourself. Record the date, starting point, destination and business purpose, then enter miles or starting and ending odometer readings. This tool does not provide GPS tracking or detect journeys. Add your own applicable rate to see a deduction estimate, then download the log before leaving the page.

Enter your business trips

This is a manual mileage tracker. It does not use GPS tracking. All entries stay in the page and clear when you leave or refresh.

Look up the rate for your travel period on the IRS standard mileage rates page. Enter it yourself; this tool does not select a rate or decide which trips qualify.

Scroll inside the trip table to reach all fields on a small screen.

Totals and formula

Total completed business miles: 0 User-entered rate (USD per mile): [Enter your rate] Deduction estimate: [Enter your rate] Trip miles = ending odometer - starting odometer, or miles entered directly. Total miles = sum of trip miles. Deduction estimate = total miles x your rate, rounded to cents.

This is a manually entered record, not a determination that a trip qualifies for a deduction. Ordinary commuting may not qualify. Check IRS guidance and speak to a qualified tax professional.

Verify the applicable rate and eligibility at https://www.irs.gov/tax-professionals/standard-mileage-rates . No mileage rate is built into this tool.

How it works.

  1. Add an optional driver or business name and vehicle description so you can identify the downloaded record. Keep separate logs for vehicles when that helps your recordkeeping.
  2. Complete a row for each business trip. Choose direct miles or odometer readings; when using the odometer, the ending reading must be higher than the starting reading. Distances use miles, with no unit conversion.
  3. Find the rate that applies to your travel period on the IRS standard mileage rates page linked beside the rate field. Enter it yourself. No mileage rate is supplied or selected by this tool.
  4. Review total completed miles and the estimate calculated from your rate. Download PDF or DOCX locally. Entries are held only in this page and clear when you refresh or leave; the generator does not retain a trip history.

Useful answers.

Does this track a trip while I drive?

No. It is a manually completed log. It does not use GPS tracking, location permissions or a background journey recorder. Enter the details from your own records when it is safe to do so.

Which mileage rate should I enter?

Check the IRS standard mileage rates page for the travel period and purpose that apply to you. Rates can change, so the tool has no built-in rate. A qualified tax professional can help you decide whether the method fits your circumstances.

Is the result the deduction I can claim?

It is only total entered business miles multiplied by the rate you supply, rounded to cents. The tool does not determine eligibility, commuting treatment or other tax adjustments. Ordinary commuting may not qualify. Check IRS guidance and your circumstances with a qualified tax professional.

Can I download a log with odometer readings?

Yes. Choose the odometer option for a trip and enter both readings in miles. The downloaded log includes those readings, the calculated trip distance, the route details, the business purpose and the totals. Review the record for completeness before relying on it.
