A receipt template for a payment you actually received
A receipt acknowledges money received; it should not suggest an unpaid invoice has been settled. This example records a partial payment against a service invoice and leaves a visible distinction between the payment received and the amount still outstanding. Issue your own receipt only after checking the payment, payer and allocation against your records.

| Description | Quantity / unit | Rate | Amount |
|---|---|---|---|
| Payment received and allocated to example service invoice [invoice reference] | 1 received payment | $180.00 | $180.00 |
Total (USD): $180.00
Example: all figures are fictional USD amounts used to show a partial-payment receipt.
Example: the referenced invoice total is USD 300; this receipt acknowledges USD 180 received; USD 120 remains outstanding. No earlier payments are assumed.
The document total above represents this payment received, not the full invoice value.
[Record the actual receipt date, payment method and a suitable transaction reference.]
[Identify the service or invoice the payment is allocated to and the person preparing the receipt.]
[Remove the example balance and calculate the actual balance after all credits and payments.]
Do not include full bank-account details or other unnecessary sensitive payment information.
How to use the template.
- Find the matching invoice or service record and confirm who paid, what arrived and which transaction the receipt will acknowledge.
- Assign a receipt reference distinct from the invoice reference. Add the actual payment method and received-payment details through your own secure record process.
- Replace the example payment line with the actual amount received. If the payment is partial, state that clearly and reconcile the remaining balance.
- Check whether a separate tax document is required with your tax professional or relevant authority; this general sample does not decide the applicable treatment.
- Send the reviewed copy yourself and keep a matching record. Correct a mistaken allocation through your own process so the receipt and account history agree.
Useful answers.
Can I issue a cash receipt with this sample?
Yes, after verifying that cash was received. Identify the payer, amount, receipt reference and invoice allocation, and keep the business copy according to your record process.
Should the receipt total show the entire invoice?
For this partial-payment example, the total is only the payment acknowledged. The notes separately explain the full fictional invoice and remaining balance so the client can distinguish them.
Does downloading this receipt record a payment in Microtra?
No. The download is a local sample and does not update an account. Microtra can record payments received elsewhere, but the downloaded document does not create that record.
