Set the maintenance tasks and the authority to approve more

A property maintenance arrangement can blur the line between routine tasks and an open-ended promise to fix everything. This download gives you a place to name the areas, visit duties and repair-approval limits. Take the PDF or DOCX outline to your attorney before using it.

Inside the downloadable sample

  • Property schedule and named responsibilities
  • Task priorities and excluded systems
  • Work orders and spending permission
  • Tenant contact, keys and site readiness
  • Observations, records and service concerns
  • Charges, service changes and closure

The PDF and editable DOCX contain the sample clauses and blank agreement fields. Microtra does not generate contracts.

How to use the template.

  1. Prepare a property-by-property task list instead of using a broad all-maintenance description.
  2. Choose an approval contact and discuss spending limits before the first visit.
  3. Ask a qualified attorney in your state to review access, authority and service-boundary terms.
  4. Retain the reviewed agreement with approved work orders and record later changes to the routine.

Useful answers.

Does maintenance include managing tenants?

Do not imply that it does. List the actual upkeep duties and keep rent collection, leasing decisions or tenant management outside the scope unless separately and appropriately arranged.

How should emergency repair authority be written?

Discuss the types of situations, contacts and permission limits with the owner, leaving amounts blank in the sample. An attorney should draft any authority to act when the owner cannot be reached.

Can a visit report certify that a property is safe?

A routine observation record should not be presented as a certification. Describe what was checked and reported, and refer specialist assessment questions to appropriately qualified professionals.
