A rental property maintenance checklist for planned visits

A maintenance visit should leave a clear trail from a resident concern to an owner decision. Use this sheet for observations in accessible areas, agreed routine tasks and repairs that need a separate work order. It does not grant entry rights, certify habitability or replace a specialist inspection.

A rental property maintenance checklist for planned visits

Access and resident concerns

  • Confirm authorization for the visit through the property manager process.
  • Record the unit, permitted access window and areas included in the visit.
  • List reported leaks, sticking doors or other concerns in the resident words.
  • Note pets, belongings or room-access limitations without collecting unnecessary personal details.

Exterior and shared access

  • Observe accessible walkways, handrails and visible drainage obstructions from a safe position.
  • Note damaged gates, exterior lighting concerns and trip hazards for assessment.
  • Record water staining or visible damage around accessible exterior openings.
  • Refer elevated or concealed areas to the appropriate inspection scope.

Interior condition review

  • Identify visible moisture, damaged finishes and doors or hardware needing attention.
  • Record the location of each concern so a repair crew can find it later.
  • Check only the fixtures and fittings included in your training and authorized scope.
  • Treat resident statements and direct observations as separate entries.

Routine tasks and specialist referrals

  • List consumables or minor parts replaced under existing authorization.
  • Follow the applicable equipment instructions for any agreed maintenance task.
  • Refer electrical, gas, structural or unfamiliar equipment issues to a qualified professional.
  • Record work stopped because of unsafe conditions or uncertain responsibility.

Manager review and follow-up

  • Separate completed routine work from proposed repairs and further investigation.
  • Assign a responsible contact for each unresolved item rather than a vague follow-up mark.
  • Attach photographs only through the property manager approved record process.
  • Record access return, resident communication and the next authorized step.

Check entry and maintenance obligations with your state authority and a licensed professional; this sheet does not define them.

How to use the template.

  1. Agree the visit scope with the manager and use their process for resident notice and access permission.
  2. Edit the sheet for the building type. A shared hallway, single-family rental and occupied apartment have different access and maintenance boundaries.
  3. Mark observations with their locations and keep estimates separate from the resident-facing visit record.
  4. Return unresolved items to the manager for authorization, and retain the completed sheet under your own document process.

Useful answers.

Can this be used for a move-in condition report?

It can inform a separate report, but it is written for maintenance visits. A move-in record needs an agreed room inventory and condition process appropriate to the tenancy.

Should the crew repair every issue it notices?

No. Work within the authorization and skill level agreed for the visit. Record additional findings and ask the responsible manager to approve assessment or repairs.

How do I handle an inaccessible room?

State the location, why it was inaccessible and whether the manager was informed. Leave it marked unobserved so the next person does not assume a condition check was completed.
