Software for web design business owners

A clear scope belongs beside the website work.

A brochure site can grow into copy revisions, product entry and another round of mobile layouts. Keep the commercial agreement visible as the design changes, with tasks, time and invoices that explain what the client asked you to deliver.

The everyday details

You know the work.
The admin adds up.

Content delays look like design delays

The client still owes photographs and service copy, but the launch date remains in the conversation. Note the dependencies and who must provide each asset so the next step is clear without reopening every message.

Revisions escape the original estimate

An extra landing page or a replacement navigation can arrive as a casual request. Compare the request with the agreed deliverables, discuss its effect on the fee and keep the revised scope connected to the work.

Support time gets scattered

A plugin update, content change and troubleshooting call may happen between larger projects. Record the work while it happens if your maintenance arrangement bills time, rather than searching a calendar at invoice time.

The handover has its own work

Client review, final content checks and training can outlast the main design phase. Make them visible in the task list and distinguish work you provide from hosting or services the client buys elsewhere.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Estimate deliverables by stage

Describe discovery, page layouts, content entry and agreed handover work in estimates. Use quantities and notes to clarify what is included before preparing progress invoices from the estimate.

Make waiting work visible

Add project tasks, status and notes for client copy, internal review and launch preparation. Keep a requested change with the job so the commercial decision is available when you return to the build.

Capture maintenance hours

Start a timer or add time manually for content edits and troubleshooting. Review the entries with their task descriptions before using them in time-and-materials billing.

Remember who approves the design

Store client contacts, notes and document preferences with estimates and payment history. Distinguish the person sending copy from the contact who approves scope and pays the bill.

Account for purchased assets

Record business expenses for licensed imagery, type licenses or subcontracted work with receipt photos. Review billable client costs before closing the project rather than absorbing an overlooked purchase.

A day in the life

From the first quote to paid.

  1. Define the next delivery

Write the page or milestone being agreed, including the client's content responsibilities. Send the estimate PDF through your device for discussion through your normal channel.

  2. Work in your design environment

Build layouts and code in your chosen tools. Keep business tasks and time entries in Microtra aligned with that work without copying passwords or sensitive access details into notes.

  3. Discuss the revision

Identify whether feedback fits the agreed round or introduces another deliverable. Update the estimate and tasks after you have agreed the commercial change.

  4. Invoice the completed stage

Review approved work, recorded time and purchased assets. Share the invoice PDF, enter payments received and leave the next handover task clear for the following session.

A few useful answers

Questions from web design business owners.

Does Microtra build or host the client's website?

No. Use your own design, coding, testing and hosting tools for website production. Microtra supports the business records around that work, including scope, tasks, estimates, time and invoices.

How should I distinguish a redesign from maintenance?

Give each agreement a clear description of its deliverables and billing basis. Record maintenance tasks and time against the work they belong to, and discuss larger changes as a separate scope before adding them to an invoice.

Can I invoice at an agreed project milestone?

Progress invoices can be prepared from estimates. Review the stage and amounts with the agreement before sharing the PDF; agreeing that a milestone has been met remains a conversation with your client.

Where can clients review and approve layouts?

Use the review channel or design tool you agree with the client. The Microtra client portal is coming soon, and Microtra does not provide website previews, code review or a design approval workspace.

What does the Other setup enable?

The starting work labels are Job and Client, with scheduling and time entries enabled. Linked records and stock begin off; use Modules & terms if you later need to enable either module.
