Software for marketing agency owners

Make the agreed brief visible all the way to billing.

An extra revision can look small in a message and still change the week's workload. Keep scope, tasks, client conversations and billable work close enough that the final invoice reflects what the agency actually agreed to deliver.

The everyday details

You know the work.
The admin adds up.

A small request can become another deliverable

Extra revisions, another ad format or a new reporting request may arrive after the estimate is agreed. Without a clear scope reference, the account conversation and the delivery work drift apart.

Client time is spread across the team

Research, copy, design coordination and account calls all contribute to an engagement. Time recorded only at the end of a project can omit the less visible work between deliverables.

Pass-through costs need an explanation

A purchased image, external production cost or printing expense should be distinguished from your own agency fee. Receipts and billing notes help the client understand what has been charged.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Set out the deliverable before production

Prepare estimates with line items for strategy, content, production coordination and agreed revision scope. Your description explains what the fee covers; Microtra does not create campaign plans or marketing assets for you.

Put account context beside the work

Store client contacts, billing preferences, notes and document history. Use work tasks and status to follow the administrative progress of the engagement instead of searching several message threads for the approved brief.

Capture the less visible hours

Start a work timer or enter time manually for research, meetings and delivery tasks. Link entries to staff and billing rates, then review the recorded time before preparing a time-and-materials invoice.

Account for outside purchases

Save receipts and categorize agency expenses, including billable client costs. Compare income, expenses and outstanding invoices in reports, while keeping advertising performance analysis in the appropriate marketing tools.

A day in the life

From the first quote to paid.

  1. Turn the brief into a commercial scope

List the deliverables, review points and exclusions in the estimate. Resolve whether media spend or external production is included before reserving the team's working time.

  2. Create the engagement record

Connect the client and agreed work, add tasks and assign staff. The professional-services setup uses Case as its work label; keep your description recognizable to the account team.

  3. Log delivery and changes

Record research and meeting time as work happens. When a client requests an additional deliverable, discuss the commercial change before adding it to the invoice.

  4. Explain the billing period

Review completed scope, time and pass-through costs. Share the invoice PDF through the device, record payment received elsewhere and follow the remaining balance separately from delivery status.

A few useful answers

Questions from marketing agency owners.

Does this replace campaign publishing or analytics software?

Microtra does not publish campaigns, buy media or report advertising performance. Its role is the agency's business administration: client records, estimates, work tracking, time, expenses and invoicing.

Why is agency work called Case in the setup?

This page uses Law & professional services, whose default labels are Case and Client. Linked records and stock are disabled initially. Modules & terms lets you adjust your business setup when needed.

Can I invoice a retainer and additional work separately?

Use clear invoice items for the agreed retainer scope and approved additional work. Set the billing arrangement with the client yourself and review which time or expenses belong in each period.

Will the client approve creative work inside a portal?

The client portal is coming soon. Continue using your established approval channel for creative work, and keep the agreed commercial scope and invoice notes with the client record.
