Software for marketing agency owners

Keep the client's request connected to the work behind it.

A campaign can start with a discovery call and finish with revisions, supplier costs and a billing question. Give the agency a place to retain the agreed business details without expecting a contact record to run the creative process for you.

Make room for the real work.

  • Campaign discovery engagement
  • Brand messaging assignment
  • Landing-page copy project
  • Social content production
  • Campaign reporting work
  • Retainer service period

How it works.

  1. Know who briefs, approves and pays

Save the main client contact, billing preferences and useful notes about the working relationship. Identify the person who can approve added deliverables and the person who handles invoices. A brand manager's request for extra artwork may need a different conversation from the finance team's question about the purchase order reference.

  2. Put an agreed boundary around the engagement

Law & professional services setup uses Case and Client in Microtra. Use the Case description and tasks for the agreed deliverables, revision scope and handoff work. Keep a campaign launch separate from ongoing content support when they need different approvals or billing. Your creative briefs, asset storage and review procedures remain yours to organize.

  3. Retain the effort behind a retainer or project

Track staff time against the work or add reviewed time entries manually. Distinguish discovery, production, reporting and agreed revisions so the team can explain where effort went. Keep supplier or production expenses with the relevant work, including receipt photos where useful, instead of relying on scattered messages when the engagement closes.

    See the time feature
  4. Make billing follow the commercial agreement

Describe the agreed services on an estimate and use your own quantities and prices. Prepare the invoice for the actual arrangement, checking retainer wording, additional work and billing preferences before sharing the PDF through your device. Record payments taken elsewhere, then use the contact's document and payment history when the next engagement is discussed.

Useful answers.

Does this CRM run a sales funnel for my agency?

This page describes contacts and the administrative work connected to them: Cases, tasks, time, estimates and invoices. It makes no promise of automated lead scoring, sales sequences or a visual opportunity pipeline.

Why does the app call agency work a Case?

Marketing agency pages use the Law & professional services setup, which gives Microtra the words Case and Client. Describe each engagement in language your team recognizes; terminology can be adjusted in Modules & terms.

Can I keep a client's separate campaigns distinct?

Give each agreed scope its own work description and retain the related tasks and time there. The contact provides the ongoing billing relationship, while the individual engagement explains what was agreed and performed.

How should I handle a request outside the original deliverables?

Write down the requested change, prepare an estimate where appropriate and confirm the revised scope directly. Use the agreed description when invoicing so extra production or revisions do not appear as an unexplained charge.
