Software for janitorial business owners

Plan the clean around the building's working hours.

An evening janitorial visit depends on when people leave, which areas remain occupied and how staff enter the premises. Periodic floor work may need a different window from routine cleaning. Microtra lets the owner arrange appointments with the site scope and assigned staff connected, while you confirm access and decide how the service fits together.

Make room for the real work.

  • After-hours office clean
  • Early common-area service
  • Washroom maintenance visit
  • Weekend periodic floor care
  • Extra cleanup after a site event
  • Owner-planned repeat janitorial visit
  • Site walkthrough with the facilities contact

How it works.

  1. Begin with the site's permitted service window

Use the Customer and Properties information to identify the premises, access contact and practical arrival arrangement. Confirm the hours you have agreed for cleaning, including any occupied areas that remain unavailable. Keep sensitive entry information in your established secure process and recheck arrangements when building management or occupancy changes.

  2. Attach the service scope to the planned visit

Use Job tasks and notes for the areas and duties expected at this appointment. Distinguish a routine service from periodic work involving different equipment, drying time or site preparation. Give staff a recognizable purpose for the visit rather than assuming the site's name explains whether the day includes floor care, common areas or a special cleanup.

  3. Review the people and transitions in the day

Assign staff to appointments linked to the work and review working hours, breaks and time off. Plan travel, equipment collection and handoffs yourself, especially when a team moves between premises. The owner arranges repeat visits and checks that the service window is practical; the calendar does not decide the building's readiness or allocate staff automatically.

  4. Update the plan when the building changes it

If an event overruns or a site closes unexpectedly, agree the revised visit directly and review its effect on other premises. Keep incomplete tasks visible with the work and clarify any extra service required. Review time entries afterward to understand where the work went, using that information when planning the next agreed visit rather than silently expanding the scope.

Useful answers.

Does the schedule automatically generate repeat site visits?

The owner plans the repeat appointments described here. Review the agreed frequency, service window and staff availability, then maintain the internal schedule and confirm relevant arrangements with the site.

Can I plan periodic work separately from regular cleaning?

Give the visit a distinct scope and practical time allowance in the work notes and appointment plan. Confirm equipment, access and any restrictions directly before committing to a different type of service.

Does this verify where cleaners are working?

GPS tracking is not available in this workflow. Appointments and recorded time support the business record you maintain; they do not provide location-verified patrol or attendance proof.

What if the customer changes closing time?

Discuss the new access window, review staff availability and reconsider neighboring appointments. Update the work and visit details so a changed opening pattern does not leave the team relying on an outdated arrangement.
