Software for contracting business owners

Bill the stage you completed with a clear record behind it.

A site may be ready for the next trade while the account still needs a progress invoice. Keep work status and billing decisions clear. Microtra supports invoices from estimates and time-and-materials invoices from work records, helping a contractor describe completed labor, materials and agreed changes while retaining the Client and property context behind the bill.

Make room for the real work.

  • Progress bill for an agreed stage
  • Repair time and materials
  • Supplied fixtures and installation
  • Agreed scope addition
  • Completion invoice after handoff
  • Billable disposal service

How it works.

  1. Review what is ready to bill

Find the relevant Job and its estimate, notes and tasks. Trades & construction uses Job, Client and Properties from setup. Confirm the work stage and any changes against your agreement before invoicing. A task marked complete is a useful business record, while your billing terms determine when the client should receive a progress or completion invoice.

  2. Describe the work in recognizable lines

Use saved items and your quantities to distinguish labor, installed materials and separately agreed services. For an estimate-based project, prepare the relevant progress invoice; for time-and-materials work, review the work records used to build the bill. Show the scope in words the payer recognizes, particularly where a requested change sits outside the original work.

  3. Check billable time and supporting costs

Review staff time entries, billing rates and client-billable expenses before including them. Receipt photos and cost notes help you check the business record, but a purchase for the site is not automatically an agreed client charge. Make sure the quantity, description and tax treatment match the completed work and your own professional advice where needed.

  4. Share, record and keep the account understandable

Generate the PDF and share it through your device with the agreed billing contact. Record payments received through existing methods and review the remaining balance. Use the Client's invoice and statement history when discussing the next bill. Card charging and pay links are coming soon, so payment collection itself remains with your outside arrangement.

Useful answers.

Can I create progress invoices from the estimate?

Yes. Progress invoices from estimates are live. Review the particular stage and your agreement before preparing one, then check its relationship to earlier invoices. The software supports the document workflow; the business remains responsible for deciding what has become billable and explaining that stage to the client.

What is the difference between a job cost and a client charge?

A job cost records what the business spent or incurred. A client charge is an amount you agreed to bill. Review billable expenses, materials and time before including them so an internal cost does not become an unexplained invoice line just because it is associated with the work.

Can the property manager receive the PDF instead of the occupant?

Share the invoice PDF through your device with the billing contact you have agreed. Keep the Client billing preferences and property details clear. Confirm the recipient before sending so the person who provides access is not mistaken for the person responsible for approving or paying the bill.

Will the app send overdue reminders automatically?

Automatic service reminders and server email delivery are coming soon. Review invoice history, statements and recorded balances, then contact the client through your usual process. Record payment when received rather than marking a balance settled because an invoice was sent or a client said payment was being arranged.
