Software for contracting business owners

Keep the owner, site and agreed work connected.

The person paying, the person opening the property and the person choosing the finish may be different. A contractor needs those details beside the scope, estimate and work status. Microtra brings Client records, Properties and Jobs together so the next conversation can start with the actual site and agreement instead of a search through disconnected messages.

Make room for the real work.

  • Residential repair inquiry
  • Site visit for a renovation scope
  • Property maintenance assignment
  • Owner-requested change discussion
  • Subcontractor coordination visit
  • Completion and account handoff

How it works.

  1. Establish which contact belongs to which site

Trades & construction starts with Client, Job and Properties. Add the payer's contact and billing preferences, then connect the relevant property details. Identify the site contact and access arrangement in the Job notes. Check whether a tenant, property manager or homeowner is responsible for decisions through your own process.

  2. Turn a request into work someone can understand

Describe the agreed scope and use tasks, status and notes to track what needs attention. Keep an undecided finish separate from a task ready for installation. A photo or note can support the record, but describe what it means so another person does not mistake a proposed change for a confirmed instruction.

  3. Keep estimate discussions with their context

Prepare the estimate using your items, quantities and prices, then share the PDF from your device. Record exclusions and the result of the scope conversation with the Job. When a client asks for additional work, review its effect before updating the commercial record; contact history does not replace a clear agreement about a change.

  4. Use the account history at each handoff

Check estimates, invoices, recorded payments and statements before discussing the next work stage. Update the Job status after the site handoff and keep unresolved items visible. The client portal is coming soon, so share the relevant documents directly through your existing channel and confirm the recipient rather than assuming the owner has a public project view.

Useful answers.

Can one client have work at more than one property?

Client records support multiple sites and linked property details. Give each Job a clear location and scope so the address on an invoice or appointment can be checked. This is particularly useful when the payer manages several properties but different people provide access at each site.

Does the CRM decide who can approve additional work?

No. Record the contact and conversation, then follow your own agreement and authorization process. A site occupant may be able to let staff in without being able to change the quoted scope. Make the decision and its effect clear in the Job before carrying the work into an invoice.

Will it chase inquiries or send marketing campaigns?

This page covers operational contact history and connected work records. It does not promise automated sales follow-up or marketing campaigns. Server email and SMS delivery are coming soon; manage your direct client communication through the channels already used by your business.

Can every worker be restricted to only assigned records?

Finer role-based access is coming soon. Business members can read and write business records in the present app, while settings and team administration require owner or All Access permission. Consider that access model when deciding what business information to put in shared records.
