Give the payer a clear lesson record

The learner, the parent and the person paying may be different people. Keep the invoice focused on the lessons and billing arrangement while leaving learning assessments and personal notes in the teaching record. This sample covers individual tutoring and a separately agreed materials task; it does not treat every planned lesson as attended.

How to use the template.

  1. Compare the lesson register with the booking record. Mark rescheduled and canceled lessons accurately before counting billable teaching time.
  2. Use the authorized payer's billing details and a learner reference they recognize. Avoid grades, diagnoses or detailed progress reports in the invoice description.
  3. Check whether preparation and worksheets were included in the lesson fee. Add separate materials work only if the payer accepted that arrangement.
  4. Enter the billing period and payment deadline, replace the sample amounts and verify any prepaid credit against earlier invoices.

Useful answers.

How do I show a shortened lesson?

Use the billing unit and cancellation terms agreed with the payer. Describe the actual lesson or agreed adjustment rather than recording full teaching time that did not occur.

Can siblings share one invoice?

Yes, where the same authorized payer agreed. Distinguish each learner's lesson entries with the minimum identifying detail needed to reconcile attendance.

Is a progress report part of the invoice?

Keep it as a separate teaching communication. The invoice should identify services and amounts; a progress report can explain learning goals without exposing them to a routine accounts process.
