Outline management services before estimating the fee

A property owner needs to know what management work is included and which decisions still come back to them. Portfolio size alone does not define inspections, vacancy coordination, vendor oversight or reporting. This estimate sample supports the service outline of a property management proposal. It separates setup, recurring administration and a defined property visit; it does not replace a management agreement or authorize handling client funds.

How to use the template.

  1. Ask the owner which services they want delegated and which decisions they intend to retain. Record the property list and relevant existing arrangements.
  2. Describe routine administration, visits, leasing support and maintenance coordination as distinct services. Include only the activities you are qualified and prepared to provide.
  3. Choose a transparent fee basis for each service and explain the period or event it covers. Avoid mixing vendor spending into your own fee.
  4. Set the reporting schedule, escalation contacts and process for requesting owner approval before committing to work.
  5. Review the estimate alongside a suitable separate management agreement before beginning service. Obtain qualified advice for regulated responsibilities.

Useful answers.

Does this proposal authorize repairs?

No. It is a sample estimate of services. Any authority to commission repairs, approval limits or emergency procedures belongs in an appropriately reviewed agreement with the owner.

Should repair costs be part of the management fee total?

Keep your service fee distinguishable from contractor invoices and other property expenses. Explain how costs are approved, documented and handled under the separate agreement.

Can I use the same scope for every building?

Tailor it to property type, occupancy, condition and owner expectations. A vacant unit needing frequent visits creates different coordination work from an occupied building with established maintenance arrangements.
