Account for the visits while the owner was away

An owner returning from a trip should be able to match the invoice to the care they booked. Distinguish a drop-in from an overnight stay, identify the household and explain any approved extension. Keep door codes, feeding instructions and medication details in the care record rather than putting them on a bill that may be forwarded.

How to use the template.

  1. Compare the booking with completed arrival and departure notes. Check the boundary between the last overnight and any separate daytime visit.
  2. Use a recognizable household or pet reference while avoiding security details on the billing document.
  3. Reconcile added pets, extra visits and agreed supply purchases with the owner's approval. Do not bill an included care task again as an add-on.
  4. Add service dates and your payment instructions, replace the sample amounts and retain the final invoice alongside the completed visit log.

Useful answers.

How do I show a flight-delay extension?

Separate the additional care from the original booking and identify its approved period. Explain whether it was an extra visit, another overnight or extended time under your terms.

Should every feeding task be a line item?

Usually the booked visit or overnight is the clearer billing unit. Mention included tasks in its description and separate only services that were independently priced and agreed.

Can I include supplies I bought for the pets?

Use your reimbursement agreement and the purchase record. Describe the supplied item and avoid copying private veterinary or medication information into a routine invoice.
