Explain the repair at the vehicle

A roadside diagnosis and a completed repair are different outcomes. State which happened, identify the vehicle and show the parts fitted so the owner can compare the invoice with the authorization. This example covers a battery-related visit; it leaves room for a diagnostic result without claiming that every suspected fault was repaired.

How to use the template.

  1. Match the owner, vehicle and authorization before transferring labor entries from the technician's job notes.
  2. Describe the diagnostic work separately from the repair. A no-start investigation may be billable even when the owner declines further work, depending on your agreement.
  3. Identify parts supplied, any customer-supplied part and any returnable core. Reconcile supplier credits before calculating the final balance.
  4. Check the agreed travel arrangement, record service and invoice dates and remove any unused sample line. Review the finished document with the repair outcome.

Useful answers.

What if the diagnosis did not lead to a repair?

Describe the tests or inspection completed and the result communicated to the owner. Do not invoice a replacement or repair that was only recommended.

How do I bill a customer-supplied part?

Make the distinction explicit and charge only for the labor or other services agreed. Keep any statement about responsibility or warranty consistent with your actual terms.

Can the call-out be combined with labor?

Use the structure approved before the visit. If travel is included in a minimum service charge, avoid adding another call-out charge for the same allowance.
