Present a planning proposal with clear deliverables and boundaries
A client comparing event planners needs to see what each proposal includes. Break the work into planning deliverables, preparation meetings and coordination coverage. Keep third-party venue and supplier costs distinct so your proposal does not accidentally present their unconfirmed services as your own fixed package.

[Define event format, guest-count assumption and coverage boundaries.]

[Describe deliverables, included revisions and the process for changing the program.]
[Replace the figures and add applicable tax, proposed payment terms and proposal validity.]
How to use the template.
- Summarize the event goal and format, then name the planning decisions and documents you will deliver.
- Specify the meetings and coordination window included. Explain travel, rehearsal attendance and additional staff if they apply.
- State whether supplier figures are client-paid quotes, allowances or excluded costs. Keep unconfirmed supplier commitments out of your promised scope.
- Work out your own preparation time and business costs, replace the fictional prices and review the proposal with the authorized client contact.
Useful answers.
How do I present supplier costs without confusing my planning fee?
Use a separate supplier budget or attachment and identify who contracts and pays each supplier. The client should be able to distinguish your planning services from venue, catering and rental commitments.
Should the proposal include an event-day finish point?
Yes. Describe coverage by the actual service boundary, such as program completion or a defined handover. Include strike coordination only when it forms part of your proposed work.
What happens if the program grows after approval?
Review the added work against the accepted deliverables and coverage. Document a revised scope and price through your own approval process before treating the additional work as included.
Keep exploring.
