Software for event planners

Keep the planning service clear from brief to balance.

A venue walkthrough, a vendor meeting and an event-day coordination service create different work for a planner. Microtra organizes your client account, tasks, appointments and billing, while your planning methods handle the guest experience, production schedule and supplier decisions.

The everyday details

You know the work.
The admin adds up.

The brief expands between conversations

A client may begin with coordination and later ask for vendor sourcing or extra setup support. Record the agreed service and exclusions so each new request can be discussed as a scope change rather than quietly becoming part of the original fee.

Vendor costs and your fees look alike

A venue invoice, a floral deposit and your planning fee may all relate to the same event but belong to different agreements. Confirm who contracts with and pays each supplier. Your account should explain only the money and services your business handles.

The event date hides the preparation

Walkthroughs, client meetings and setup checks happen before the visible event. Keep those appointments and tasks with the job so a planner can see the work still required without treating the event date as the whole schedule.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Start with the person approving the brief

Keep client contact details, notes and document history together. Use the job for the venue, event description and agreed responsibilities. Other starts without linked records; enable them in Modules & terms before using additional record types.

Describe your planning scope

Prepare estimates with items for consultation, sourcing, coordination and other agreed work. Separate your services from costs the client pays directly. Microtra does not produce event floor plans, seating charts or a specialist guest management database.

Reserve the preparation work

Add appointments for walkthroughs, meetings and your own event-day work, with assigned staff where needed. Record tasks and status on the job. You maintain the detailed production running order and confirm supplier commitments through your own process.

Know where planning time went

Use a timer or add time manually against work and tasks. Review preparation and coordination hours before billing under the arrangement you agreed. A time entry supports your business record; it does not establish that an unapproved extra is billable.

Review the spending you handle

Add expense categories, receipt photos and billable client costs where appropriate. Review income, expenses and outstanding invoices, then share invoice PDFs from your device. Card charging and accounting sync are coming soon.

A day in the life

From the first quote to paid.

  1. Turn the conversation into a scope

Identify the decision-maker, venue and type of event. Write down your responsibilities, exclusions and approval process before preparing the estimate, especially where several suppliers have their own direct client agreements.

  2. Build the preparation diary

Place your client meetings and site visits on the job. Assign staff for the work they will perform and keep notes about outstanding decisions rather than assuming a supplier has accepted a change.

  3. Track changes before event day

When the client requests additional coordination or setup work, discuss it and update the relevant estimate and job notes. Keep the specialist guest list and production documents in your established planning tools.

  4. Reconcile your service account

Check approved work, expenses and payments before sharing the final invoice PDF. Record funds received through your existing method, and retain clear notes for any outstanding balance or unresolved supplier question.

A few useful answers

Questions from event planners.

Is this a complete event production platform?

It is general small business software for client work, scheduling, time, expenses and billing. It does not provide attendee registration, ticketing, seating design or vendor marketplace functions. Use specialist event tools where the event needs those capabilities.

Can I separate supplier spending from my fee?

Use clear estimate and invoice items and record the business expenses you actually handle. Establish who is responsible for each supplier payment before entering costs. The app does not determine the legal or accounting treatment of client money for you.

Will guests receive an event invitation through Microtra?

No. Microtra does not provide a guest invitation or RSVP system. Server email delivery and the client portal are coming soon. Handle guest communication through your existing event process and keep the business account focused on your client relationship.

Can I organize meetings without enabling bookings?

Other starts with scheduling, so you can create job appointments for the meetings you arrange. Public online booking is coming soon. The planner still agrees each appointment directly and checks external supplier or venue availability separately.
