A drone invoice that distinguishes capture from delivered media

Flight activity and the client's deliverables are related, but they are not the same billing unit. A property shoot may include site preparation, image capture, selection and editing before the final files are handed over. Describe what you completed and delivered, including any approved return visit, without implying that ordinary photography is a survey.

[Reference the accepted brief, completed mission and delivered file list.]

[State media formats and the agreed usage arrangement without inventing additional rights.]

[Record approved reshoots, incomplete captures and any agreed adjustment.]

[Add applicable tax, due terms and payments received; keep flight permissions in your operational records.]

How to use the template.

  1. Match the invoice to the accepted shot list and actual delivered media.
  2. Distinguish capture, editing and approved return visits according to the billing basis you agreed.
  3. Check usage terms and avoid labels such as certified survey unless they accurately describe an authorized professional service.
  4. Replace fictional quantities and charges, reconcile advance payments and share the invoice through your own process.

Useful answers.

Should I bill by flight time or by deliverable?

Use the basis in the accepted quote. A delivered-media package can include planning and editing, while a time-based arrangement needs an appropriate activity record; do not change the basis after completion.

How do I bill a weather-delayed visit?

Follow the agreed scheduling and cancellation terms and describe the actual charge accurately. A visit without capture should not be presented as completed media delivery.

Does an aerial photo invoice prove a boundary survey?

No. Describe the actual service and deliverables. Surveying and other specialist professional outputs need the appropriate qualifications and scope, which this sample does not provide.
