Commercial cleaning invoices organized by site and service period

A facilities contact needs to connect your bill to the building, service period and purchase order they approved. Separate routine janitorial visits from periodic floor work, consumable restocking and authorized callouts. That makes the invoice useful to both the site manager checking the work and the accounts team releasing payment.

How to use the template.

  1. Check the client legal entity, building reference and purchase order before grouping visits into a service period.
  2. Reconcile the visit log with missed access, holiday closures and any agreed credits. Only describe work actually completed.
  3. Keep periodic services such as carpet extraction or floor finishing separate from the routine cleaning charge.
  4. Replace fictional quantities and charges, review tax treatment with your adviser and reconcile the balance before sharing.

Useful answers.

How do I bill several buildings for the same customer?

Follow their purchasing instructions. Give each site a separate section or invoice and identify the service period and site reference clearly. Do not combine buildings if their approvals or purchase orders differ.

Should paper products be included in the visit price?

Use the supply arrangement in your agreement. Where replenishment is separately billable, identify the products and supporting quantities rather than using an unexplained miscellaneous charge.

What happens when the crew cannot enter a building?

Record the access issue and check the agreed missed-visit terms. A scheduled visit is not evidence that the service was completed, so describe any agreed charge or credit accurately.
