Software for wedding photographers

The wedding date is only part of the work.

Your delivery work continues after you leave the reception with the cameras packed. Keep the agreed coverage and business follow-through together so an event date does not hide the work still waiting after the celebration.

The everyday details

You know the work.
The admin adds up.

Coverage has boundaries worth writing down

Preparation at one address and a reception at another affect travel and the hours available. Record the locations and agreed coverage, then discuss additional attendance before it becomes an unexpected invoice item.

Several people hold pieces of the plan

The couple, planner and venue contact may each share useful details. Keep the commercial contact clear while retaining the access and timing information needed for your own preparation.

Delivery work follows the event home

Culling, color work, retouching and album revisions continue after the wedding. A job that only records the event date makes it easy to lose sight of the delivery tasks and the time they consume.

Purchases and hired help affect the margin

A second photographer, travel, album printing and equipment rental can belong to different parts of the job. Gather those costs before deciding whether the agreed package covered the work involved.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Describe the agreed collection

Create estimates with coverage, additional attendance, album products and other agreed deliverables as distinct items. Prepare progress invoices from the estimate when your arrangement calls for staged billing.

Keep post-production in view

Use job tasks, notes and status for preparation, the event and delivery. Add an album revision as a clear task instead of leaving it buried in the conversation about image selection.

Retain the business contacts

Save client details and notes with estimates, invoice history and billing preferences. Confirm who receives documents and where the photography takes place before assigning the work.

Measure work beyond coverage

Record editing and album-design time with a timer or manual entries. Use the review to understand the effort behind your package, even when the client is paying an agreed fee rather than an hourly bill.

Bring delivery costs into the review

Enter album lab bills, equipment hire and other job expenses with receipt photos. Review them with the recorded income and outstanding invoices as you close the commercial side of the wedding.

A day in the life

From the first quote to paid.

  1. Listen to the coverage plan

Discuss the venues, attendance and deliverables. Put the commercial agreement into an estimate and confirm the arrangements directly with the couple.

  2. Prepare the attendance

Place the work and assigned staff on the schedule, then review travel and access notes yourself. Keep the detailed photography timeline in the working format you use on the day.

  3. Carry the job through editing

After the event, record editing time and update delivery tasks. Discuss requests outside the agreed collection before adding extra retouching or album work.

  4. Complete the financial record

Review the staged invoices, amounts already received and remaining deliverables. Share any final invoice PDF from your device and record the payment when it arrives through your existing method.

A few useful answers

Questions from wedding photographers.

Is this an image gallery or editing application?

Microtra does not edit images, store a client proofing gallery or deliver wedding photographs. Keep those tasks in your photography tools and use Microtra for the connected business administration.

Can the estimate include an album and extra coverage?

Yes. Describe each agreed deliverable with its quantity and price, and use notes to clarify the scope. Review changes with the client before carrying the relevant work into an invoice.

Will it automatically collect the booking payment?

Microtra card charging, pay links and card deposits are coming soon. Collect through the method you arrange with the couple and record the receipt against the invoice after it is received.

Does it replace a wedding photography contract?

No. An estimate and invoice document the commercial scope and charges. Maintain your contract through your own professional process; Microtra does not create wedding photography contracts.

What starting terminology should a photographer expect?

Choose Other for Job and Client. Linked records, stock and service packages start off. You can change module choices in Modules & terms as the business needs them.
