Software for small property management business owners
Keep each maintenance conversation attached to the work.
An owner approves a repair, an occupant arranges access and a contractor supplies an estimate. The contact names alone rarely tell the whole story. Use Microtra for service business contacts and job records, with clear notes about the site, the requested work and who needs the next update.
Make room for the real work.
- Owner-approved maintenance coordination
- Vacant-unit repair visit
- Common-area service inquiry
- Contractor estimate review
- Occupant access arrangement
- Follow-up after completed maintenance
How it works.
Start with the commissioning relationship
Create the Client contact for the party your business works for and record billing preferences. Put the service location and access contact in the relevant Job notes. Other setup uses Job and Client, with linked records off; it does not create a dedicated property management hierarchy for you.
See the clients featureMake responsibilities readable
Record who reported the problem, what the owner agreed and which contractor is expected to attend. Use notes and tasks to keep those handoffs visible. Keep only appropriate operational information; sensitive tenancy records belong in the process and systems your business has selected for them.
See the jobs featureKeep work documents beside the discussion
Prepare estimates and invoices for services your own business provides, using clear descriptions and quantities. Review the contact history when an owner asks what was billed. Do not confuse a contractor's separate document with an invoice your business has issued.
See the invoicing featureReview open work before another site visit
Check job status, remaining tasks and appointment assignments before contacting the access person. Update the record after a conversation so the agreed next action is clear. You coordinate and confirm each handoff; saving a note does not send it to the contractor or occupant.

Useful answers.
Is this a rent collection or lease administration system?
This page describes contact, work and business billing records. It does not promise a rent ledger, lease administration or security deposit accounting. Assess those specialist needs separately before choosing how to run your property management operation.
How should I record several sites for an owner?
Client contacts support multiple sites. Use a clear location and work description on each job, estimate and invoice. Other setup starts with linked records off, so this workflow does not rely on linked property records.
Can occupants raise requests through a public portal?
The client portal is coming soon. Receive maintenance requests through your existing process, confirm the responsible contact and add the agreed work to the business records yourself.
Will assigning a contractor notify them?
Server email and SMS delivery are coming soon. Communicate instructions and access arrangements directly. Use tasks and status to record the handoff, then check that the contractor has actually agreed the attendance.
Keep exploring.
