Software for photo booth business owners

Keep the event brief beside the booth's business details.

The host's choice of digital images or printed strips shapes the package you need to prepare. Record the operating window, backdrop choice, print arrangement and venue contact with the work. Microtra organizes the business side; you run capture, printing and image delivery in your separate booth software.

The everyday details

You know the work.
The admin adds up.

Print approval and event logistics follow different paths

The client choosing the names on a print layout may not be the venue contact arranging load-in. Bring the agreed wording, approval status and access instructions into the job notes while keeping artwork files in your design workflow.

An extra operating hour changes the work

A reception running late can affect the attendant's time, booth collection and the final bill. Agree how an extension will be authorized and charged before it is added to the event.

Supplies are easy to overlook in a package price

Print media, ink or ribbon, prop replacements and travel still cost money when the client buys a package. Review the supplies used and preparation time instead of judging the event only by its headline invoice total.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Describe what the host is buying

Use estimate line items for booth operating hours, an attendant, a backdrop and agreed print options. State whether setup time, travel or additional prints are included, then turn the agreed scope into clear invoice details.

Make the event brief usable on arrival

Save the host's contact details, billing preferences and venue site. Add notes and tasks to the job for the approved package, layout approval, loading entrance and on-site contact, so the brief is available from your phone or browser.

Account for the attendant's whole shift

Schedule job-linked appointments for setup and operation and assign staff. Record preparation, attended hours and packing time against the work. Confirm booth and printer availability separately before offering the date.

A day in the life

From the first quote to paid.

  1. Turn an inquiry into a defined package

Ask whether the host wants digital images, printed strips or both, and confirm the event's operating window. Prepare the estimate around the selected setup rather than sending a package name without its contents.

  2. Resolve the print and venue details

Handle layout proofs in your design tools and note what the client approved. Collect loading instructions and the venue contact, then create tasks for preparing the backdrop, props and print supplies.

  3. Run the booth with your specialist tools

Follow the scheduled setup visit and check the brief before opening. Use separate capture software for the camera or tablet, printer and image workflow; add any directly agreed extension to the business record.

  4. Reconcile the event's work

Finish the agreed image handoff through your usual service. Review attendant time and invoice changes, share the invoice PDF through your device and enter the payment already received. Log supply costs before packing for the next event.

A few useful answers

Questions from photo booth business owners.

Can Microtra operate a booth camera or send guests their photos?

No. Use specialist photo booth software for capture, print layouts, printer control and guest image delivery. Microtra supports the estimates, client details, job notes, scheduling and invoices around that work.

How do I describe digital-only and print packages?

Save items for the services you offer and explain the inclusions on each estimate. Separate the operating period, attendant and print options where that helps the host understand the scope. Store final artwork and image files in your separate production workflow.

What happens when a host asks the attendant to stay longer?

Confirm the extra work and price directly with the authorized contact. Record the additional time against the job, update the invoice to reflect the agreement and review it before sharing a PDF. Microtra does not automatically calculate overtime from an event's end time.

How can I count paper and printer ribbon?

Other setup starts with stock off. Enable stock in Modules & terms if you want location counts, reorder levels and purchasing tools for consumables. Microtra does not read a booth printer's remaining media or reserve booth equipment for an event.

Which app labels will a booth operator see?

Choose Other: an event's work starts as a Job and its paying contact as a Client, with linked records off. Keep venue details in client sites and job notes; you can adjust the labels in Modules & terms to suit your business.

Can I take the host's payment through the app?

Arrange payment using your existing method and record the amount received against the invoice. Card charging and pay links in Microtra are coming soon.
