Software for phone repair shop owners

The counter needs the same story as the bench.

A cracked screen replacement starts with a device, a reported problem and permission to proceed. Keep the repair order and approved price clear enough that the person at pickup can explain the work without asking the technician to repeat the whole conversation.

The everyday details

You know the work.
The admin adds up.

The model changes the part

A similar-looking handset can need a different screen assembly or battery. Confirm the model and chosen part before quoting, and write the description so the customer and technician mean the same repair.

Diagnosis can change the price

A charging complaint may need further investigation before a repair is agreed. Separate the diagnostic charge from the proposed replacement and obtain approval for additional work through your normal process.

Pickup becomes a second intake

Without a clear repair description, counter staff have to ask what happened and what is still owed. Keep the completed work, invoice and payment history ready for that handover.

A warranty discussion needs the actual repair

A returning handset may have a new symptom or a question about completed work. Review the original description, invoice and your own repair terms before deciding what the next attendance covers; a repeat visit does not explain its own scope.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Put approval beside the order

Use an order record for the reported fault, approved work, tasks and notes. Microtra does not diagnose phones or perform device testing; technical checks stay with your repair process.

Track the parts you sell and use

The Retail shop setup enables stock and locations. Keep screen assemblies, batteries and accessories as distinct saved items or variants, with physical counts, supplier contacts and purchase orders.

Explain the repair bill

Build estimates and invoices with diagnostic work, labor and replacement parts on separate lines. Share a PDF through the device after checking that its description matches what the customer approved.

Recognize the returning customer

Store contact details and invoice history so repeat repairs do not begin with a missing billing address. Do not store unlock codes, personal device content or sensitive customer information in ordinary business notes.

Retain a special-order component cost

Record a supplier expense with its receipt and connect an approved billable cost where appropriate. Check the part description against the accepted repair rather than assuming every purchased component belongs on the customer bill.

A day in the life

From the first quote to paid.

  1. Receive the handset

Identify the model, the reported fault and the person authorizing work. Follow a separate device intake and data-handling procedure before bench work starts.

  2. Confirm the estimate

Describe the proposed part and labor in an estimate. Resolve approval directly before ordering a special component or extending the repair.

  3. Prepare the pickup record

Update the order notes with the work completed and check parts used. Keep test results in the technical records appropriate to your shop.

  4. Close the counter sale

Review the repair invoice and any accessory purchase with the customer. Record payment received through your existing cash or payment provider.

A few useful answers

Questions from phone repair shop owners.

Is Microtra diagnostic software for phones?

It is business software for orders, customers, parts and invoices. Microtra does not run diagnostics, unlock handsets, recover data or control repair tools.

Which words will the shop see?

Choose Retail shop: the setup uses Order and Customer, with stock and locations enabled. Schedule and timesheets start off and can be switched on in Modules & terms if required.

Can replacement parts have different variants?

Saved items support variants, stock by location, reorder levels and physical counts. Confirm compatibility yourself before allocating a part to a repair.

Does an invoice take payment at pickup?

Use your existing payment method and record the received amount. Microtra card charging and Tap to Pay are coming soon.
