Software for personal trainers

Keep the coaching relationship clear between sessions.

A training client may change availability, use a session pack or ask about an invoice after the workout. Keep those business details close so the next conversation can focus on the arrangement you actually agreed.

Make room for the real work.

  • Introductory training consultation
  • Individual strength session
  • Technique-focused coaching
  • Outdoor personal training
  • Partner training by agreement
  • Return session after an agreed pause

How it works.

  1. Keep contact and billing details dependable

Save the client's contact information, billing preferences and ordinary administrative notes. Confirm who handles payment if training is arranged by someone else. Decide separately how you collect consent and retain health or exercise assessment information; a business contact record should not be assumed to provide a specialist coaching or clinical record system.

  2. Retain the agreed work without inventing extra records

Personal training setup uses Session and Client in Microtra. Put the agreed session type, location and practical instructions with the work. Linked records start off for this setup, so ordinary notes do not imply a separate assessment or progress-profile module. Keep your training program and professional decisions in the records appropriate to your practice.

  3. Explain package balances from the actual record

Use packages and memberships inside the app to track credit use, balances, expiration, top-ups and renewals linked to clients. Review the relevant arrangement when someone returns after a pause or requests a different session type. Your business sets and explains the terms; the package record helps keep the administrative conversation consistent.

  4. Bring billing questions back to the agreed service

Prepare invoices from your own service descriptions and prices, share PDFs through your device and record payments received elsewhere. Review invoice and payment history when a client asks about a balance. Keep a package purchase, an individual session and additional agreed work distinguishable so the relationship does not depend on remembering what a single receipt represented.

Useful answers.

Does this track workout programming or exercise progression?

This page describes the business relationship: contacts, Sessions, bookings, packages and billing. Use your chosen training records for programming, technique assessment and progress measurement rather than assuming those specialist functions are part of the CRM.

Can I see a client's remaining package credits?

Packages and memberships inside the app include credit use, balances and expiration. Check the relevant record and your agreed terms when discussing another session, a top-up or a renewal.

Can clients buy training packs online?

Online package sales are coming soon. Arrange the purchase directly, manage the package inside the app and record payment received through your existing method.

What if the person attending is not the person paying?

Confirm the responsible billing contact and retain clear administrative notes about the arrangement. Keep the session description and invoice understandable, while following your own consent and professional record procedures for the person training.
