Software for mobile mechanics

An invoice should explain the visit, the diagnosis and the repair.

A customer sees the vehicle working again; your records need to show how it got there. Separate the callout, diagnostic work, approved labor and fitted parts so the finished invoice reflects the work they agreed to.

Make room for the real work.

  • Mobile diagnostic visit
  • Battery replacement
  • Starter motor replacement
  • Brake service at an agreed site
  • Scheduled maintenance visit
  • Return visit with an approved part

How it works.

  1. Identify the vehicle in the work notes

Record the service address, vehicle description and the identifiers your business needs with the Job. Trades & construction setup uses Job, Client and Properties in Microtra; it does not start with vehicle-linked records. If you want a different linked-record arrangement, configure it in Modules & terms rather than assuming the mobile mechanic page changes setup.

  2. Describe diagnosis and repair as distinct work

Use separate invoice lines for the agreed callout, diagnostic effort, approved repair labor and parts where that matches the arrangement. Include part descriptions that help the customer recognize what was fitted. Review quantities, units, tax and your own prices, and avoid hiding a return visit or additional work inside an unexplained service total.

  3. Bring actual time and parts costs into the review

Record time against the work and staff involved, using a timer or reviewed manual entries. Keep receipts and relevant purchased-part expenses with the job. Before billing, compare the diagnosis and authorized repair with what was performed, especially when a seized fastener, wrong supplied part or unsuitable working space changed the visit.

  4. Finish with a document the customer can retain

Check the billing contact, service description, terms and any payment already received, then share the invoice PDF through your device. Record later payment collected through your existing method against the invoice. Retain notes about recommended follow-up separately from completed work so the document does not imply an unperformed repair was supplied.

What is still on the way.

Card charging, pay links and accounting sync are coming soon.

Useful answers.

Can I bill for diagnosis when no repair was completed?

Use the service arrangement you agreed with the customer and describe the diagnostic work actually performed. Keep the findings and any recommended repair distinct from fitted parts or labor that did not occur.

Will the app provide vehicle labor times or parts compatibility?

Use your own technical references and supplier checks for labor guidance and parts selection. This page describes preparing an invoice from checked work details; it makes no promise of a repair database or compatibility lookup.

How should I show customer-supplied parts?

Describe the labor and other work you supplied, and record the agreed arrangement in the job notes. Review any terms with the customer directly so your invoice does not suggest your business sold a part it did not supply.

Does a recorded payment charge the customer's card?

Card charging is coming soon. Recording a payment means entering money received through another method and applying that receipt to the invoice balance.
