Software for janitorial business owners
Price the cleaning specification you can deliver.
The floor area alone does not describe a janitorial bid. Occupancy, washroom use, opening hours and the tasks expected at each visit all affect the work. Use Microtra to present an estimate based on your site review and service method, separating routine duties from periodic work so the customer can understand what the proposal covers.
Make room for the real work.
- Office janitorial service proposal
- Common-area cleaning bid
- Washroom service specification
- Break-room cleaning arrangement
- Periodic floor-care proposal
- After-event janitorial addition
- Multi-location cleaning estimate
How it works.
Walk the premises with the service in mind
Link the Customer and Properties details, then record the site areas and work scope in Job notes. Review washrooms, entrances, waste handling, break rooms and floor finishes. Note access windows and occupied areas that affect delivery. Your site assessment establishes the workload; Microtra does not calculate production rates or inspect the premises for you.
See the jobs featureDefine tasks and frequency before the total
Prepare items that describe the service period and tasks you intend to provide. Explain which duties occur on routine visits and which periodic services are priced separately. Use your own checked quantities and prices, and clarify whether consumables, waste supplies or customer-provided materials are included. A bid should be comparable on scope as well as on its final amount.
See the invoicing featureBuild your cost method around real work
Consider expected labor, supervision, supplies, equipment use and travel before setting the selling price. Allow for site setup and restricted access when assessing time. Keep expense records and receipt photos as the service develops so later reviews can compare your assumptions with business costs. If you want physical supply tracking, enable inventory in Modules & terms first.
See the expenses featureClarify the boundary of additions and periodic work
Discuss exclusions, special cleans and the process for changing the specification before treating the proposal as settled. Record agreed revisions directly with the customer and keep document descriptions consistent. Share the estimate PDF through your device; when invoicing begins, use recognizable site and service descriptions so routine work is not confused with a separate floor-care visit.

Useful answers.
Does Microtra calculate cleaning labor from floor area?
No automatic janitorial production-rate or site-survey calculator is promised. Assess the tasks and expected time through your own method, then enter the items, quantities and prices for the service you propose.
How should periodic floor care appear in a bid?
State whether it is included in the routine service or offered separately. Describe the area, task and frequency basis clearly enough that the customer can see what happens outside ordinary visits.
What about paper products and other consumables?
Explain who supplies them and how any included replenishment is priced. Avoid leaving the customer to guess whether a janitorial service total includes materials that depend on building usage.
Can I reuse a bid for a similar office?
Reusable items can reduce retyping, but inspect the new site and revise the scope. Different occupancy, finishes, access and washroom use can change the work even when the premises seem similar.
Keep exploring.
