Software for HVAC contractors

Make the service bill clear after the system is running.

A client should be able to distinguish the assessment visit, replacement component and installation labor on an HVAC invoice. Microtra helps you prepare that record from the work you delivered. Keep the property and billing contact connected, share a PDF from your device and record the payment received through your existing method.

Make room for the real work.

  • Diagnostic service visit
  • Thermostat replacement and setup
  • Heating maintenance service
  • Cooling repair with supplied parts
  • Equipment installation stage
  • Agreed ductwork modification
  • Return service after a parts order

How it works.

  1. Confirm the payer and the serviced property

Find the Client and the relevant Properties record, using the Trades & construction setup labels. Check billing instructions and any reference required by a property manager or commercial contact. Keep the work location recognizable on the document so a client with several sites can identify the visit without searching through service messages.

  2. Describe what was delivered, not just the complaint

Review Job tasks and notes, then prepare lines for the completed assessment, repair, equipment or installation stage. Use quantities and prices from the agreement and identify supplied components clearly. Technical test results and commissioning documentation stay in your professional process; the invoice should summarize the commercial work without pretending to be a detailed technical report.

  3. Review billable time and materials before finalizing

For time-and-materials work, check the recorded hours, staff billing rates and material entries against the authorized scope. Keep receipt photos and billable client costs for relevant purchases. Separate an agreed return visit from time spent waiting on an unresolved decision, and discuss any scope change rather than assuming every recorded business cost belongs on the client's bill.

  4. Follow the document through to its remaining balance

Review the service descriptions, terms and tax settings, then share the invoice PDF through your device. Record money received elsewhere and check outstanding balances before contacting the client. For staged installations, progress invoices from estimates can support the agreed billing arrangement; review earlier documents so the next stage does not repeat work already invoiced.

Useful answers.

Can I invoice a diagnostic visit separately from a later repair?

Use distinct descriptions and your agreed billing basis for each service. Keep the work notes clear about what was assessed, what was authorized and what was completed so the documents follow the actual arrangement.

How are larger installations billed in stages?

Progress invoices from estimates are available. Use the milestones you and the client agreed and review previous invoices before preparing the next stage.

Will the invoice take a card payment on site?

Card charging and Tap to Pay are coming soon. Collect payment through your existing method and record the amount received in the app.

Can the invoice replace a service or commissioning report?

Use the invoice for clear billing descriptions. Keep inspection findings, test results and required technical records within the specialist procedures and documents appropriate to the service.
