Software for event decorators

Carry the room styling brief through to the last packed crate.

A room styling brief needs to say who supplies each piece, who places it and who packs it away. Microtra helps an event decor business organize its scope, crew appointments, costs and billing. You create the visual scheme and coordinate the physical installation.

The everyday details

You know the work.
The admin adds up.

A room brief contains several different jobs

A welcome area may need freestanding signs while guest tables need linens, runners and centerpiece placement. Break down the rooms and zones you are dressing, including quantities and responsibility for each piece. A broad promise to decorate the venue leaves too much open to interpretation.

Table counts keep moving

A change to the seating layout can alter runners, candleholders, napkins and the work needed to place them. Agree how the client confirms the final quantities and approves changes. Keep that decision visible before purchasing or packing to an earlier count.

Several vendors touch the same space

The venue may set the tables, a florist may deliver arrangements and your crew may add the decorative pieces. Clarify who supplies, places and removes each element. A name on the supplier list does not establish who is responsible for moving a centerpiece after the ceremony.

Strike is part of the work sold

Removing decor after guests leave means packing fragile pieces, sorting linens and separating client-owned items from rented goods. A crew that arrives without a collection plan can spend the evening solving decisions that belonged in the brief.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Keep the client and venue context together

Save the client's billing details and notes, then record venue instructions and the styling scope on the job. Other uses Job and Client, with no linked records enabled at setup. Keep the contact for access separate from the person who can approve a charge.

Price the areas you have agreed to dress

Prepare estimates with clear items for ceremony styling, table decor, signage placement, setup labor and strike. Specify whether a quantity is per table, per decorative grouping or a complete area. Keep goods supplied by the client distinct from the materials your business provides.

Give each crew visit a purpose

Create job appointments for a walkthrough, installation, a room changeover or final removal, and assign the staff involved. Use tasks for packing, placement and collection checks. Confirm vendor readiness and venue access directly; a scheduled visit does not establish either one.

See the effort in setup and repacking

Add time manually or use the timer while staff prepare, install and clear the decor. Review hours by work and task to understand the service you delivered. Keep labor billing consistent with the approved estimate rather than turning every extra hour into an unexpected charge.

Reconcile purchases with the service account

Enter receipt photos and expense details for fabric, printed signs, decorative supplies and agreed client costs. Review spending alongside the income and outstanding invoices for the business. Share the finished invoice PDF through your device and record funds collected through your usual method.

A day in the life

From the first quote to paid.

  1. Walk the spaces before naming the service

Identify the areas to dress, the pieces already supplied and the person approving the overall look. Agree which decor decisions belong to you and which remain with the client or another vendor. Your mood boards, scale layouts and visual approval process stay in your design workflow.

  2. Set a scope that can be checked

Prepare an estimate with the table quantities, focal displays and labor you agreed. Note the exclusions and how changes will be approved. Confirm who orders linens, provides flowers, handles candles and collects rented pieces instead of leaving those responsibilities under a general decor heading.

  3. Pack for the confirmed room arrangement

Review the final table count and placement instructions before loading. Add job tasks for each zone and note which crates go to the ceremony, reception or welcome area. Schedule the crew around the access you have confirmed with the venue.

  4. Check the handover before guests arrive

Work through placement tasks and compare the installed scope with the approved brief. Discuss any additional area or requested change with the decision-maker. Keep the final removal instructions clear for the crew returning later, especially when another vendor is collecting part of the display.

  5. Sort the returns and review the invoice

Separate your decor, client possessions and supplier returns during strike. Follow up on missing pieces through your own return process. Check approved extras and expenses before sharing the invoice, then record payments received and any remaining balance.

A few useful answers

Questions from event decorators.

Does event decor software here include room design tools?

Microtra supports the business administration around your styling service. It does not create mood boards, render a room, draw floor plans or calculate table layouts. Develop and approve the look through your design process, then describe the agreed work in the business records.

What happens when the client adds more guest tables?

Review the decorative pieces, placement labor and removal work affected by the new count. Agree the revised scope and price with the client, then update the estimate and job details. The app does not translate a seating change into a decor quantity calculation for you.

Can the same job cover a ceremony-to-reception changeover?

Yes. Add the agreed changeover to the job, with tasks and staff appointments for the work involved. State which pieces move and who moves them. You still confirm timing with the venue, planner and other suppliers so the crew can perform the move as arranged.

Should flowers and rented furniture go on my invoice?

Include only the goods, services and agreed costs your business is billing. If the client contracts with the florist or rental supplier directly, explain the placement work you provide without presenting that supplier's whole order as your sale. Ask your accountant about the treatment of money you handle for others.

Can I send the client their final bill from the venue?

You can review and share an invoice PDF from your device, with payment already received elsewhere recorded against it. Check the approved work before sending. Server email delivery, the client portal and card charging are coming soon.
