Software for consulting business owners

Make the invoice recognizable to the person approving it.

A consulting invoice should connect to the engagement the client bought: a workshop delivered, an agreed project stage or advisory time reviewed against the scope. Microtra helps you prepare that document and keep it with the Client and Case. Describe the work in the client's language so finance can understand it without opening every meeting note from the project.

Make room for the real work.

  • Discovery workshop facilitation
  • Process assessment stage
  • Advisory hours against an agreement
  • Implementation review meeting
  • Agreed report delivery
  • Billable travel expense by agreement

How it works.

  1. Find the billing agreement before writing the bill

Open the Client details and relevant Case. Law & professional services setup uses those labels, with linked records off. Check the invoice recipient, agreed scope and document preferences. A project sponsor's approval of a report and the finance team's billing instructions may come from different people, so review both before preparing the document.

  2. Choose lines that reflect how the engagement was sold

Use saved items and quantities for workshops, advisory hours or defined stages. Include enough detail to identify the service, while keeping sensitive findings out of the invoice description. For staged work, progress invoices can come from an estimate; you decide which part has reached the billing point agreed with the client.

  3. Review time and expenses before including them

Check timer entries or manually recorded time against the scope. Separate internal preparation from billable work according to your agreement, and review any client-billable costs and receipt photos. A time-and-materials invoice can draw on work records, but an entry should still be checked for relevance, description and the billing basis you promised.

  4. Send the PDF and follow the balance

Share the invoice PDF through your device after checking the recipient and any purchase-order reference supplied by the client. Record payments received through your existing method and use the saved payment history or statement when discussing the account. Pay links and server email delivery are coming soon, so the sharing and collection arrangement stays with your business.

Useful answers.

Is Microtra the best choice for every consulting practice?

The right fit depends on how you scope, deliver and bill work. This page describes estimates, time records, invoices and payment recording for a small practice. Check those tasks against your own process during the trial, including any separate procurement or document-handling requirements your clients have.

Can I invoice a project stage instead of hours?

Yes. Describe the agreed stage as a service line, or use progress invoicing from an estimate where it matches your arrangement. Confirm the billing trigger yourself. A meeting marked complete does not decide whether the client has accepted a deliverable or a milestone is contractually payable.

How should I show travel or other client costs?

Include only costs covered by the agreement, with a description the reviewer can recognize. Keep expense categories, receipt photos and billable client costs in the business records. Check your tax treatment and engagement terms with the appropriate professional when needed rather than assuming every reimbursable cost is handled identically.

Will Microtra collect the invoice payment?

Card charging and pay links are coming soon. Share the invoice PDF, arrange payment through your existing method and record the payment received in Microtra. Reviewing the saved balance helps you distinguish an invoice sent to finance from money actually received by the practice.
