Software for repair shop owners

Hand over a repair bill the owner can follow.

At collection, a vehicle owner needs to see what was checked, what was replaced and what remains unpaid. Build an invoice that separates diagnostic work, supplied parts and repair labor. Microtra connects that document with the Client and the work behind it, so the explanation does not depend on a hurried conversation across the shop counter.

Make room for the real work.

  • Diagnostic inspection and testing
  • Brake parts and fitting labor
  • Cooling system repair with coolant
  • Battery replacement and testing
  • Filter and fluid service
  • Agreed additional repair work

How it works.

  1. Check the completed work against the agreement

Review the estimate, Job notes and recorded tasks before billing. Include the vehicle reference in the description so the payer can identify the repair. Trades & construction setup uses Job, Client and Properties; vehicle identifiers can stay in your Job notes without implying a dedicated vehicle-service register.

  2. Give every line a useful description

Choose saved items and enter the quantities supplied. Show the replacement component, fitting labor and any separately agreed diagnostic service in terms the owner can recognize. Avoid vague bundles that hide a changed scope. Apply your own prices, markups and tax settings after checking which items belong on the final document.

  3. Account for time and job costs

Where labor is billed from time, review the timer or manual entries before preparing a time-and-materials invoice. Check billable costs against the repair rather than copying every workshop expense onto the client bill. A supplier receipt supports your cost record; its existence alone does not mean the entire amount was agreed with the owner.

  4. Share the document and reconcile the balance

Share the invoice PDF through your device, using the contact method already agreed with the payer. Record cash or payments received through another provider and review the balance. Card charging and pay links are coming soon. Keeping that distinction clear helps when a vehicle is collected before an account payer settles the invoice.

Useful answers.

Can I show parts and labor on separate lines?

Yes. Reusable items, quantities and your prices let you describe the repair in distinct lines. Include the actual component and service rather than a generic repair total. If a diagnostic charge was agreed separately, make its relationship to the completed repair clear in your own description.

What if the fleet company pays after the driver collects?

Check the Client billing preferences, share the invoice with the agreed billing contact and leave the balance outstanding until payment is received. Record the driver's collection details with the Job as appropriate. A completed repair and a settled invoice represent different business events.

Does the invoice email itself from Microtra?

Server email delivery is coming soon. Generate the invoice PDF and share it through your device. Review the recipient and the attachment before sending, particularly if a fleet administrator pays the bill while the driver or vehicle owner discussed the repair with your shop.

Is this free auto repair invoice software?

A free trial lets you evaluate Microtra; ongoing use is covered by its paid plans. Check the pricing page for the plan details. This page describes the invoice workflow and does not promise a permanent free subscription or a repair-industry accounting service.
