Reconcile the rental before billing extras

The dispatch list, setup sheet and return count each tell a different part of a party rental order. Bill the agreed rental period and supplied quantities, then handle missing or damaged items through the terms and evidence you actually have. This sample separates furniture rental from delivery and setup rather than treating every event as a single package.

How to use the template.

  1. Compare the dispatched quantities with the final order rather than the first inquiry. Identify substitutions in table sizes or chair styles.
  2. Specify the rental window and venue. Clarify whether setup means unloading at the door or placement under a floor plan.
  3. Check the collection count before adding a missing-item or cleaning charge, and retain the condition record and customer communication.
  4. Apply advance payments according to your agreement, edit all illustrative amounts and share a reviewed document with the event billing contact.

Useful answers.

Should a refundable security deposit be treated as rental income?

Keep its purpose and settlement separate from ordinary rental lines, using appropriate accounting advice. This sample does not calculate or classify refundable deposits.

How do I bill an extended rental?

Show the extension period and the customer's approval. Use the agreed extension terms, especially when delayed collection was outside the customer's control.

What belongs with a damage charge?

Identify the item and the relevant condition evidence, explain the charge under the agreement and give the payer a clear contact for questions. Do not use a vague miscellaneous fee.
