Software for party rental business owners

Make the delivery details as clear as the guest list.

Folding chairs, banquet tables and linen colors are only part of a party rental conversation. A narrow side gate, a request to set out the furniture or a different pickup contact can change the work. Use Microtra for the estimate, client details, job tasks and invoice, alongside your own checks for rental availability and returns.

The everyday details

You know the work.
The admin adds up.

Drop-off can turn into setup at the driveway

A host may picture tables arranged on the lawn while your quote covers curbside delivery. Explain carrying distance, placement, assembly and packing responsibilities before arriving with a loaded vehicle.

The household details matter on delivery day

A locked gate, steps to a patio or no safe place to leave folded chairs can interrupt a straightforward drop. Ask about access and the person receiving the goods, then keep those answers with the job.

A guest-count change touches several items

Extra guests may mean a different table arrangement, additional chairs and more linens. Recheck availability and transport capacity through your own process before updating the quantity and price the host will see.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Spell out what the host is renting

Use saved invoice and estimate items for table styles, chair types and linen sizes, with quantities and prices you enter. Describe delivery, setup and pickup separately so the host can see what each service includes. An item list records the charge; it does not reserve the pieces.

Save the answers you need at the house

Keep client contact details, sites and notes for the delivery address, gate access and agreed recipient. When a returning host calls, review the earlier estimates and invoices before discussing the next celebration.

Turn the agreed delivery into work to do

Create a job with tasks for confirming access, reviewing the accepted item list and arranging collection. Record planned visits as job appointments and assign staff. Decide routes, vehicle loads and rental allocations outside Microtra.

Review the spending behind a small delivery

Save receipt photos with expenses for cleaning supplies, replacement straps, fuel and outside help. Compare recorded costs with the job's income when reviewing your delivery and setup charges, rather than judging the work by the rental total alone.

A day in the life

From the first quote to paid.

  1. Ask about the yard, not just the guest list

Find out where the tables will go, how the team will reach that space and whether the host expects setup. Check your rental records for the requested pieces, including time needed for cleaning between uses.

  2. Describe the accepted package

Prepare the estimate with the chosen table, chair and linen quantities. Confirm delivery and collection arrangements directly, and settle any changed guest count before updating the agreed document.

  3. Work from the household instructions

Review job notes and tasks before departure. Your separate loading checklist controls which pieces travel; the job carries the access instructions, planned visit and service scope for the person doing the work.

  4. Finish the pickup and the paperwork

Count and inspect returned pieces through your own return checklist. Confirm any disputed item or additional charge with the host before putting it on the invoice. Share the invoice PDF from your device and enter payment already received elsewhere.

A few useful answers

Questions from party rental business owners.

Is Microtra suitable when I rent tables and chairs from home?

It can hold your business estimates, client contacts, jobs, expenses and invoices. You still need a reliable way to check which pieces are available, what is rented out and what has come back. Microtra does not provide specialist rental reservations or return automation.

Can a host place a rental reservation on a public calendar?

Public online booking is coming soon. Agree the request directly and enter the planned work yourself after checking availability elsewhere. Microtra does not include an online rental catalog or an equipment reservation calendar.

What should the estimate say about bringing furniture into the yard?

Describe whether the agreed service stops at drop-off or includes carrying and setting out the furniture. Include the known access conditions and pickup responsibility in the scope, then discuss any change before accepting it as additional work.

Can I take a deposit through the invoice?

Microtra card deposits and pay links are coming soon. Collect an agreed payment through your existing payment method, then record the amount received against the invoice so the remaining balance is clear.

Where do I start if party rental is not listed in setup?

Choose Other, which uses Job and Client. Linked records are not enabled and stock starts off. Switch stock on in Modules & terms if you want general supply counts, such as cleaning materials; those counts do not check rental-date availability for tables, chairs or linens.
