A janitorial shift sheet that separates rooms and frequencies

A nightly office visit and a periodic floor-care visit should not produce the same checked boxes. Organize this janitorial checklist by occupied zones, agreed frequencies and the building contact responsible for exceptions. It helps a crew report incomplete work without treating every task as due on every shift.

A janitorial shift sheet that separates rooms and frequencies

Open the assigned shift

  • Record building, shift, crew lead and the contact for access problems.
  • Check the agreed zone list and identify occupied meeting rooms or restricted offices.
  • Confirm supplies and equipment assigned to the visit without exposing alarm or key codes on the sheet.
  • Mark periodic tasks due for this visit before work begins.

Shared workspaces

  • Empty only designated waste and recycling containers; leave papers on desks undisturbed.
  • Clean agreed accessible desks and shared touch surfaces using suitable products.
  • Vacuum open carpet routes and clean hard floors with appropriate equipment.
  • Note furniture, cables or occupied areas preventing access.

Restrooms and break areas

  • Clean fixtures and surfaces under the site procedure and product directions.
  • Replenish agreed soap, tissue and towel dispensers and record shortages.
  • Clean accessible break-area counters and sinks without discarding personal food unless authorized.
  • Report leaks, damaged dispensers or unusual contamination to the building contact.

Rotating floor and detail work

  • Identify the zones assigned for edge work, reachable ledges or interior glass.
  • Record the approved floor-care method for the surface before using equipment.
  • Use the site arrangements for wet floors and occupied routes.
  • Carry specialist floor restoration or high-level tasks onto a separate approved work plan.

Leave a traceable handover

  • Record completed zones and tasks postponed because of occupancy or access.
  • List supply shortages for replenishment without marking them as completed service.
  • Return equipment and secure doors according to the building access procedure.
  • Pass damage or safety observations to the authorized contact without placing confidential office information on the sheet.

[Building reference] [Shift] [Zone list] [Periodic tasks due] [Crew initials] [Exceptions]

This task record does not certify infection control or replace a site-specific cleaning procedure.

How to use the template.

  1. Ask the building contact to identify daily, visit-based and periodic tasks before editing the DOCX.
  2. Make restricted rooms and desk-clearing responsibilities explicit so the crew does not guess.
  3. Give each shift a fresh working copy with the periodic tasks due already marked.
  4. Review incomplete zones and replenishment needs at handover, then retain the sheet with your own service records.

Useful answers.

Should the crew check every box on every visit?

No. Set the frequency for each task and identify what is due on that shift. Mark not due separately from incomplete so the building contact can understand the record.

Does this include specialist healthcare cleaning?

No. Adapt the sheet only to work your team is trained and equipped to perform. Healthcare or other controlled environments need the appropriate site-specific procedures.

Where should access codes go?

Keep keys and codes in your approved secure access process. The ordinary task sheet only needs an access reference and the contact for problems.
