An HVAC invoice linked to the unit and completed service
Identify the unit before listing the work. A customer with several systems should be able to tell which one received service, which parts were fitted and whether a recommended repair is still pending. This HVAC invoice template uses a fictional maintenance visit with an approved replacement component, without making diagnostic or performance promises.

How to use the template.
- Match the invoice to the completed service report and the correct site equipment.
- Separate maintenance already included in the agreement from a repair approved during the visit.
- Enter supplied parts and performed labor, then reconcile earlier payments and applicable tax.
- Review the final bill before sharing it and preserve the supporting equipment and authorization records.
Useful answers.
Can I invoice recommended repairs before they are approved?
Do not present a recommendation as completed work. Keep pending recommendations in the service notes and use a separate estimate or agreed advance-billing arrangement when appropriate.
What if several units were serviced at the same site?
Use a unit reference beside each relevant line or a clear attached schedule. Keep the customer able to match parts and work to the actual equipment.
Does Microtra automatically remind customers to book maintenance?
Service reminders are coming soon. You can organize jobs and appointments inside Microtra, but arrange follow-up contact through your own process.
Keep exploring.
