An HVAC proposal with equipment assumptions and installation scope
A replacement-system proposal should identify what is being supplied and which site conditions the price assumes. This HVAC proposal template illustrates equipment, installation labor and approved ancillary work. It does not select or size a system: a qualified professional must establish the design and confirm compatibility before the proposal is offered.

[Attach equipment identifiers, design responsibility and compatibility assumptions.]
[Define included connections, controls, access and testing responsibilities.]
[Identify separately evaluated electrical, duct, structural or other specialist changes.]
[Confirm official permit and inspection questions with the local authority and responsible qualified professional.]
[Add validity, availability assumptions, payment milestones and applicable tax after review.]
How to use the template.
- Have a qualified professional define the proposed system and record the site assessment on which the scope relies.
- Separate equipment, installation and ancillary responsibilities so omitted work is visible.
- Replace the fictional amounts with supplier information, expected labor, overhead and your own pricing method.
- Review allowances, exclusions and change approval arrangements with the client before accepting the project.
Useful answers.
Does the sample tell me what capacity to install?
No. Equipment selection and system design require a qualified assessment of the actual property. The proposal records the resulting specification instead of providing sizing guidance.
Should duct or electrical changes be hidden in a general allowance?
Identify what has been assessed and what is unresolved. Define any allowance and its approval process rather than implying all possible changes are included.
Is the PDF an accepted installation contract?
No. It is an illustrative estimate document. Use an appropriately reviewed agreement and a clear acceptance process for the installation.
Keep exploring.
