Track rental custody from loading to the return inspection

A rental order is a movement of specific equipment, not just a reservation for an event. The agreement needs to identify what leaves your store, where custody changes and how returns are checked. This sample organizes inventory, delivery and collection questions for an attorney. Microtra does not generate rental contracts.

Inside the downloadable sample

  • Equipment schedule and hirer
  • Dispatch and condition record
  • Delivery access and installation limits
  • Use, custody and return preparation
  • Hire period and commercial terms
  • Collection exceptions and agreement approval

The PDF and editable DOCX contain the sample clauses and blank agreement fields. Microtra does not generate contracts.

How to use the template.

  1. Build an item schedule with accessories and identifying details so staff can count the order at dispatch and return.
  2. Confirm the venue loading route, setup responsibilities and collection-ready location before editing the delivery clauses.
  3. Give your attorney the rental schedule, condition-record process and proposed commercial terms for review.
  4. Use your own finalized agreement and signature process, and retain dispatch and return records with the accepted order.

Useful answers.

Should a linen order list more than the linen count?

Include sizes, colors, relevant fabric or item references and the return packaging arrangement. Those details help distinguish a correct delivery from a bag of items that merely totals the expected count.

Does delivery automatically include setting up the room?

The sample does not make that promise. Define unloading, placement, assembly and strike separately according to the services you actually offer and can perform.

Does this form set a damage deposit?

No. It leaves deposit and damage terms for your actual transaction and qualified legal review. An equipment condition record supports the process but does not establish a universal charge.
