Build a catering quote around the service format

The same menu can involve a delivery tray, a buffet team or a fully staffed meal. Make the service format visible before presenting the total. This catering estimate separates food quantities, staffing and equipment so the client can see how the headcount and venue plan affect the proposal, with dietary requests and approval deadlines documented alongside it.

How to use the template.

  1. Confirm the event style and venue facilities before converting the menu into billable portions.
  2. Define a guest or tray unit clearly, including the serving assumptions and what is supplied with it.
  3. Estimate setup, service and breakdown effort separately from food production; name rentals and transport that are included.
  4. Replace the example figures, attach the menu revision and explain how a changed guest count affects the quote before acceptance.

Useful answers.

Is a per-guest quote enough detail?

It can be a useful unit when the included menu, portions and service are clear. Show separately charged staffing, equipment and delivery so a per-guest line does not hide a different service plan.

How should a venue kitchen affect the estimate?

Verify what is usable and permitted before assuming equipment or preparation space is available. Record dependencies and any required hire or delivery changes in the proposal.

What happens when the headcount is not final?

State the proposed basis and the agreed confirmation process. Explain which food, staffing and equipment decisions may need revision instead of presenting an unconfirmed count as final.
