An event catering handoff from kitchen to venue
A catering checklist connects the people preparing food with the people receiving and serving it. Follow the event from the final headcount through load-out and the return of hired equipment. Add your own trained food-safety procedures rather than relying on a general task sheet for holding temperatures, transport controls or allergen decisions.

Catering event preparation and return checklist
Confirm the service brief
- Match the approved menu, guest count, dietary requests and service style to the event reference.
- Confirm the client approver, venue contact, loading access and service schedule.
- Check which tables, power, water and kitchen facilities the venue provides.
Kitchen and packing release
- Use the final production list and label food through your food-safety procedure.
- Pack serving utensils, trays, hot or cold holding equipment and required protective supplies.
- Keep dietary-request portions identifiable using the agreed labeling and handling process.
- Check disposables, linens, table signage and waste supplies against the load list.
Transport and venue arrival
- Assign loading and transport responsibility, with food controls handled by trained staff.
- Count containers and hired equipment before dispatch.
- Confirm safe unloading access and the setup area with the venue contact.
Set up and serve
- Brief staff on menu information, service sequence and escalation contacts.
- Check the agreed service equipment and table layout before guests arrive.
- Follow established holding, handling and replenishment procedures; record issues as required.
- Obtain approval before adding unplanned service or changing the menu.
Close the event
- Apply the agreed leftover-food procedure and cleanup scope.
- Count serving equipment, linens and rentals; record missing or damaged items.
- Secure transport for returns and document the venue handover.
- Capture approved extras for the final bill without putting guest personal information on this sheet.

Operational organizer only. Apply relevant food-safety rules and qualified training for the actual menu and venue.
How to use the template.
- Build the list from the approved menu and venue brief, then remove equipment and service tasks that do not apply.
- Give each handoff a named responsible person so the kitchen release, delivery count and service briefing are confirmed.
- Keep the task sheet with your operational records and food-safety documents; it does not replace those records.
- After return, reconcile equipment and approved event changes before closing the job.
Useful answers.
Is this suitable for drop-off catering?
Yes, after editing. Replace staffed service steps with the receiving contact, labeled delivery count, agreed setup and the appropriate handover instructions.
Where should dietary requests be listed?
Use an appropriately handled menu and production record with only the information staff need. The checklist prompts confirmation; it does not determine whether a dish can meet a dietary requirement.
Should rentals be checked only at pickup?
Count them before dispatch and again at return, using the rental list. That helps distinguish an item never loaded from one missing after service without relying on memory.
Keep exploring.
