Software for window cleaners

Recognize the windows behind a repeat inquiry.

A customer may ask for the usual clean while you remember a front-only visit and they remember the whole property. Keep the agreed areas and access notes with the work. Microtra connects customer details, property context and documents so the next conversation can begin from a clear record.

Make room for the real work.

  • Exterior window cleaning inquiry
  • Interior glass appointment discussion
  • Storefront repeat service
  • Conservatory glass assessment
  • Property access follow-up
  • Additional skylight request

How it works.

  1. Keep the payer and access contact clear

Cleaning setup uses Customer and Job. Save the commissioning contact and billing preferences, especially where a tenant or shop employee provides access for a different payer. Record the service location so documents for another property do not enter the conversation by mistake.

  2. Record the practical property context

Linked Properties records start on for Cleaning. Keep notes about gates, parking arrangements, water access and areas discussed. Assess access and working methods yourself at each visit; a saved note about a window location is not a safe-access assessment.

  3. Define the repeat scope in the work notes

Describe which elevations, interior areas or additional glass the customer agreed. Use job tasks for an unresolved skylight request or access question. Keep a requested extra separate until you have assessed and agreed it rather than letting the word usual expand the scope.

    See the jobs feature
  4. Answer document questions from the history

Find the relevant estimates, invoices and recorded payments before discussing a balance or another clean. Match the document to the location and agreed areas. Share its PDF from your device when the customer needs to review what the earlier visit covered.

Useful answers.

What belongs in a repeat customer record?

Keep appropriate contact details, service locations, practical access arrangements and the agreed cleaning scope. Review that information with the customer when they request another visit; a prior clean does not prove that access or expectations are unchanged.

Can I record inside and outside work separately?

Use clear job descriptions and document items to identify the areas included. Distinguish interior access, exterior glass and agreed extras where it helps the customer understand the work. Review the scope before reserving enough time.

Does the CRM plan the driving round?

Microtra does not provide route optimization or GPS tracking. Choose the visit order yourself, consider travel and access windows, and use the schedule to record the appointments you have agreed.

Will the customer get an automatic visit reminder?

Automatic reminders are coming soon. Contact the customer directly to confirm gates, interior access or a changed visit window, then update the business notes to reflect what you agreed.
