Software for wedding planners

Know which wedding decision needs the next conversation.

A venue question, a couple's preference and a supplier response may all affect the same planning task. Keep the next action attached to the client and event work. Microtra provides business contact and job records; you coordinate the wedding through your own planning, supplier and contract processes.

Make room for the real work.

  • Planning consultation
  • Venue visit coordination
  • Supplier shortlist discussion
  • Partial planning scope
  • Wedding-day coordination preparation
  • Final client handover meeting

How it works.

  1. Establish who commissions the planning

Save the Client contact and billing preferences, then note the event context and other operational contacts with the work. Other setup uses Job and Client, with linked records off. Confirm who can approve decisions when relatives or other contributors participate in the conversation.

  2. Separate preferences from decisions

Use Job notes and tasks for the choices still open and the next person to contact. Identify whether a venue or supplier is being considered or has been agreed through your own process. Avoid a vague note that makes a preference look like a confirmed reservation.

  3. Keep your planning service scope visible

Prepare an estimate for the work your business is supplying, such as consultation or coordination. Explain boundaries and exclusions clearly. Supplier agreements and the couple's separate expenses should remain distinguishable from your own planning invoice and recorded receipts.

  4. Review the relationship before a meeting

Check the outstanding tasks, relevant documents and payment history before talking through the next stage. Add the practical outcome after the meeting so the handoff is understandable. Use the schedule for agreed meetings while maintaining your detailed event running order through your planning process.

Useful answers.

Is this a guest list and seating plan tool?

This workflow covers general business contacts, jobs and documents. It does not promise guest registration, table assignment, seating charts or supplier booking systems. Assess those needs separately when choosing the tools for a wedding.

Can Microtra make my planning contract?

Microtra does not make contracts. Use an appropriate sample only as a starting point and have a qualified attorney in your state review the agreement. Keep contract preparation and approval in your own professional process.

How can I keep supplier costs distinct from my fees?

Describe your planning services clearly in your estimate and invoice. Keep the couple's direct supplier agreements and payments in the process you agreed with them. Do not record another business's receipt as though it were payment of your own invoice.

Will clients have an online planning portal?

The client portal is coming soon. Discuss decisions directly and use your established document-sharing process. Invoice and estimate PDFs can be shared from your device after you review the details.
