Software for lawn care business owners

Let the invoice show what happened in the yard.

A homeowner should be able to distinguish routine mowing from leaf removal or an agreed bed cleanup. Bring the visit details into the invoice so a vague charge does not undo an otherwise straightforward job.

Make room for the real work.

  • Mowing and trimming visit
  • Edging sidewalks and driveway
  • Leaf collection
  • Storm debris cleanup
  • Mulch installation
  • Agreed hedge trimming

How it works.

  1. Match the bill to the completed visit

Check the work date, address and agreed maintenance scope before preparing the invoice. Note whether the crew mowed, edged, removed clippings or left an area untouched because the ground was saturated. With Other setup, Microtra uses Job and Client; use the Job notes to retain those details rather than trying to reconstruct the visit from the invoice alone.

  2. Separate routine care from approved extras

Use saved items for familiar work, but review the description every time. Put leaf collection, hauling or additional shrub work on clear lines when the client agreed to them. Choose units that match the arrangement, such as a completed visit or measured installation area. Include the service address when a landlord pays for several properties.

  3. Check costs without turning the invoice into a receipt pile

Keep fuel, disposal charges, purchased mulch and other business costs as expenses, with receipt photos where useful. Review which costs were included in the service price and which were agreed as billable work. Your client needs a readable explanation of the service; your business also needs a record of what supplying it cost.

  4. Share the document and record the receipt

Review the client's billing preferences, total, payment terms and any prior payment before sharing the PDF through your device. When money arrives through your existing payment method, record it against the invoice. Use the remaining balance and payment history to answer follow-up questions, especially when the payer is different from the person at the yard.

Useful answers.

How do I make a mowing invoice easy to recognize?

Include the maintained address, service description and visit details that distinguish it from other work. A client who sees routine mowing, edging and an approved cleanup clearly described has less reason to ask what the charge covers.

Can I invoice lawn installation as well as maintenance?

Use descriptions and quantities appropriate to the installation, such as sod area, bed preparation and material handling. Saved items can help with repeated services, but verify the scope and your prices before sharing the document.

Does sharing an invoice mean Microtra emails it for me?

Server email delivery is coming soon. You share the invoice PDF through your device using the communication method you already use with the client.

What happens when a client pays through their bank?

Record the payment received elsewhere against the invoice and check the remaining balance. Microtra's invoice history then reflects the receipt you entered without changing how the client made the payment.
