Software for HVAC contractors

Put the service request into a workable day.

If you are comparing HVAC dispatch software, distinguish live dispatching from the owner organizing appointments. This page describes the latter: you decide which work goes to which person, confirm access and place appointments inside Microtra. Keep the reported issue, property and planned service close so a diary entry has enough context to be useful.

Make room for the real work.

  • Heating maintenance appointment
  • Cooling fault assessment
  • Thermostat replacement visit
  • Parts-dependent return repair
  • Equipment replacement assessment
  • Planned installation visit
  • Commercial site service slot

How it works.

  1. Understand the request before allocating time

Create Job notes and tasks for the client's reported issue and the service you have agreed to provide. Distinguish diagnosis, maintenance and a planned replacement because they may need different preparation and time. Apply your own professional triage process; an internal calendar entry does not assess the fault or decide the safety response a caller needs.

  2. Match the appointment to the correct property

Link the Client and Properties information supplied by Trades & construction setup. Confirm the entry contact, occupied-area restrictions and any site arrival process. A facilities manager may approve the work while another person provides access, so record those practical roles clearly and confirm the visit directly before relying on the planned time.

  3. Assign staff and review the whole day

Appointments can be linked to the work and assigned staff. Review working hours, breaks and time off, then allow for travel, preparation and parts collection yourself. Check that the person you assign can deliver the agreed service through your own team process. Microtra does not provide live dispatch or GPS tracking in this workflow.

  4. Reconsider later visits when a repair changes

If diagnosis changes the work or a part must be ordered, discuss the next step and update the appointment plan. Contact affected clients directly when the day needs rearranging. Keep outstanding tasks with the work and invoice the service actually delivered, so a completed visit does not imply that the reported issue has been fully resolved.

Public online booking, automatic service reminders and card deposits are coming soon.

Route optimization is not available; the owner decides the order and travel allowances for appointments.

Useful answers.

Does Microtra offer live HVAC dispatching?

This page describes owner-managed appointment planning, not live dispatching. You select staff and organize work inside the business; Microtra does not provide GPS tracking or automatic location-based allocation here.

Can I schedule a return after a replacement part arrives?

Keep the outstanding task and relevant work notes, confirm the part is ready and agree access before adding the return appointment. Recheck the assigned person's availability and the surrounding day.

Will clients receive an automatic arrival message?

Automatic service reminders and server email or SMS delivery are coming soon. Confirm timing and communicate changes through your established client channel.

How should I fit urgent requests into the diary?

Assess the request through your professional process, decide what service you can provide and review the effect on existing appointments. Contact clients directly when arrangements must change rather than treating an open slot as the only factor.
