Software for excavation contractors

Make the site scope visible before the machine moves.

Trenching for a service, removing a stump and preparing a foundation site involve different equipment and uncertainties. Microtra keeps the business details around your excavation work together, from the client's agreed scope to recorded machine hire, crew hours, hauling expenses and the final invoice.

The everyday details

You know the work.
The admin adds up.

An outline on a plan is not the whole job

Site access, existing surfaces and the intended disposal destination can change the work behind an excavation request. Record what the estimate assumes and what still needs checking. Do not let a general earthwork description hide restoration or hauling exclusions.

Unknown ground needs an approval process

Unexpected material or a condition outside the original scope should trigger a conversation before extra work proceeds. Keep the decision and approved change with the job so a larger invoice can be traced to the agreement that produced it.

The cost sits across people and equipment

Crew hours, rented attachments, haul trips and disposal expenses may arrive as separate records. Review them against the same job rather than relying on a machine's time on site to explain everything your business spent.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Describe measured work without pretending to model it

Create estimates with your own quantities, items and notes for excavation, hauling and other agreed work. Microtra does not perform earthwork takeoffs, calculate cut-and-fill volumes or generate grading designs. Check those in suitable specialist tools.

Keep the site context attached

Use the client and linked property record for the premises, with job notes and photos for access and the agreed work area. Your field planning and professional safety checks remain separate from the business record.

Coordinate the visits you arrange

Create appointments linked to the job and assign staff. No-login equipment resources can also sit on the schedule. Review the sequence yourself, especially when a machine delivery or another contractor affects whether the crew can begin.

Bring hours into the cost review

Add time manually or use the timer for staff and tasks. Review the entries before billing labor or preparing a time-and-materials invoice. The app records your time; it does not read machine telematics or decide an equipment charging basis.

Capture hauling and site spending

Enter expense details and receipt photos for hire, transport and disposal. Link billable client costs when appropriate and review reports by job. Inventory starts off; enable it in Modules & terms before using stock or purchasing tools.

A day in the life

From the first quote to paid.

  1. Define the excavation package

Meet the client at the site, review the requested work and identify assumptions that need resolution. Prepare the estimate from your own measurements and calculations, with hauling and restoration responsibilities made clear.

  2. Arrange equipment and access

Create job appointments after checking your external delivery and access arrangements. Note the person approving changes and the site contact so the crew does not have to resolve those roles while equipment is waiting.

  3. Record a changed condition

If the agreed scope changes, document what was found, discuss the added work and update the estimate or invoice detail as appropriate. Keep photos, time and expenses connected to the job.

  4. Review the account after the work

Check approved quantities, crew entries and supporting costs before sharing the invoice PDF. Record payment received through your existing method; card charging and accounting sync are coming soon.

A few useful answers

Questions from excavation contractors.

Is this excavation takeoff software?

No. Microtra handles estimates, site jobs, time, expenses and invoices. It does not read plans, model terrain or calculate earthwork quantities. Use the results of your specialist calculations as reviewed inputs to the business estimate.

Can equipment appear on the schedule?

No-login resources can represent equipment alongside staff scheduling. Confirm actual availability and arrangements yourself. This is not a fleet maintenance or telematics system, and GPS tracking is coming soon.

Which setup fits an excavation company?

Trades & construction supplies Job, Client and Properties. Keep the site's business context linked to the client and add work details to the job. Specialist surveys, utility information and technical site documents remain in your established field process.

Can I separate hauling from digging on the bill?

Yes. Use distinct invoice items and the quantities or charging units you have agreed. Review supporting costs before presenting additions; an expense or time entry does not automatically mean the client authorized that charge.
