Software for courier business owners

Keep the pickup promise and the handoff details together.

A courier appointment needs more context than an address: the sender, receiving contact, access arrangements and the agreed handoff all matter. Microtra lets an owner organize appointments and Job notes inside the business. It does not provide live dispatch, GPS tracking or route optimization; you decide the journey and coordinate each pickup and delivery through your own process.

Make room for the real work.

  • Prearranged business pickup
  • Document hand delivery
  • Retail parcel collection
  • Venue equipment handoff
  • Return delivery to sender
  • Receiving-desk appointment

How it works.

  1. Record both ends of the assignment

Other setup uses Job and Client, with linked records and booking services off. Keep the paying contact on the Client and put pickup and delivery addresses, receiving contacts and handling instructions in the Job notes. Check what the sender has actually agreed before treating a requested time as a confirmed appointment.

  2. Reserve time for the handoff

Add appointments linked to the Job for the agreed pickup and delivery arrangements. Assign staff after reviewing working hours and time off. Allow for your own travel, loading and receiving-desk procedures when deciding what fits. The calendar stores your plan; it does not calculate traffic, travel duration or the most efficient order of stops.

  3. Keep exceptions visible to the next person

Use tasks and notes for a missing recipient, changed access point or item that was not ready at collection. Contact the relevant person directly and update the appointment once a new arrangement is agreed. Describe what is outstanding so a coworker does not mistake an attempted delivery for a completed handoff.

  4. Finish with the business record

Update work status and the agreed service description before preparing the invoice. Use your own units, such as a delivery assignment or agreed waiting time, after checking the client arrangement. Share the invoice PDF from your device and record payment received elsewhere. Keep any external delivery evidence in the process your business uses.

Useful answers.

Does this dispatch drivers from a live map?

Microtra does not provide dispatch, GPS tracking or route optimization. This page describes an owner arranging appointments, assigning staff and keeping Job context. A live driver map, traffic-based sequencing and dynamic stop allocation are outside the workflow described here.

Can I record a pickup and delivery under the same work?

Keep the assignment in a Job with its relevant appointments and tasks. Distinguish the sender's address from the receiving contact in the notes. You confirm the times and handoffs directly, then update the record when an arrangement changes or one side of the assignment remains incomplete.

Is a signature a specialist proof-of-delivery system?

Microtra supports signatures on business documents, but this page does not promise a courier proof-of-delivery platform, barcode scans or geotagged handoffs. Follow your own required delivery-evidence process and check what the client expects before accepting the assignment.

Can a client submit a courier request online?

Public online booking is coming soon. Other setup starts without booking services; use owner-managed Job appointments for the workflow described here. Agree the item, addresses, recipient and timing directly so the scheduled work reflects an assignment your business can actually carry out.
