Software for consulting business owners

Remember what the client is trying to change.

The useful part of a consulting relationship is often in the handoff: a sponsor's goal, a workshop decision or a question left open after a review. Keep that context with the contact and the engagement. Microtra gives a small practice connected Client records, work notes, time and billing documents without promising an automated sales process or a specialist research repository.

Make room for the real work.

  • Discovery and scope discussion
  • Operational process review
  • Facilitated planning workshop
  • Implementation advisory work
  • Leadership review meeting
  • Follow-up on agreed recommendations

How it works.

  1. Name the engagement before collecting activity

Law & professional services setup uses Case and Client, with linked records off. Create a Client for the organization or payer and a Case for the agreed consulting assignment. Record the sponsor, working contact, objective and billing preference so a later discussion starts from the business problem rather than an unstructured list of calls.

  2. Keep decisions separate from working questions

Use tasks, notes and status to distinguish a finding under review from an agreed next action. Note which workshop produced a decision and who needs to respond. Keep confidential research and sensitive documents within your own appropriate handling process; an administrative Case note should contain the context you need for the next step.

  3. Connect effort with the scope you sold

Capture advisory, preparation and workshop time using the timer or manual entries. Review how that effort relates to a fixed deliverable, retained support or hourly engagement before billing. The record helps explain the work but does not determine whether an extra interview or revised report falls within the client's original agreement.

  4. Bring the commercial history to the review

Look up estimates, invoices, payment history and statements before discussing another phase. Share a proposal's priced scope as an estimate PDF through your device, and record agreed changes with the Case. Use the saved history to support your own conversation; this page does not claim automatic lead scoring, campaign delivery or opportunity forecasting.

Useful answers.

Is this CRM designed around sales pipelines?

This workflow focuses on the contact and delivery side of a consulting practice: engagement context, tasks, time and billing history. It does not promise pipeline stages, automated lead scoring or revenue forecasts. Decide whether those separate sales functions are essential to the way you run your practice.

Can I distinguish the sponsor from the invoice recipient?

Keep the billing details and preferences on the Client and identify the sponsor and working contacts in the Case notes. Review who can agree a change through your own engagement process. The person attending a workshop may have a different responsibility from the person paying for it.

Can clients read recommendations in a portal?

The client portal is coming soon. Share your consulting deliverables through the professional process you already use, and share Microtra document PDFs from your device where relevant. A saved Client record does not provide a public project workspace or a client login.

What happens when the same organization asks for another project?

Reuse the contact history and create a separate Case for the new engagement if that suits your practice. Give it a clear objective and scope. Keeping the work distinct makes it easier to review time and invoices without mixing an earlier diagnosis with a later implementation assignment.
